    ORGANIZATIONAL UNIT: Health Services Department: CPN East Clinic

    SUPERVISOR:    Medical Records Coordinator

    FLSA:  Non-Exempt

    SALARY RANGE: $17.00- $20.00


ALL FULL TIME POSITIONS:     In addition to your pay, your salary also includes Medical, Dental and Vision Insurance. The Biweekly deduction from employee paycheck is $40.00 for Employee Only, $95.00 Employee plus Children, $120.00 Employee plus Spouse, and $140.00 Employee plus family.  


JOB SUMMARY: Serves as the point of contact for all Vista related issues both for CPN East and West clinics. Manages the conversion from traditional hard-copy medical records to digitized electronic health records, ensuring the integrity and accuracy of the data.

CPN Health Services personnel may be assigned to provide services to patients of all ages including but not limited to Indian Children and will require a criminal history background screening.

ESSENTIAL FUNCTIONS:

  • Oversee, prepare, and submit reports as needed to Director of Health Services and Clinic Managers.
  • Responsible for maintaining Vista compliance, policies, and procedures.
  • Maintain current and thorough knowledge of the Vista program.
  • Responsible for performing quality assurance review on all documents scanned by scanning clerks in a timely manner to ensure scanning accuracy.
  • Responsible for deleting/editing a scanned image both in the Vista program and EHR in the event it was entered incorrectly.
  • Ensure medical records are being scanned in a timely manner and help cover in the event a scanning clerk is absent, or on vacation, or behind in their work.
  • Assists in scanning for other departments as needed, including CPNHS West clinic, Diabetes, Healthy Heart program and CHS.
  • Follows all Federal laws as it relates to protected health information.
  • Performs routine Quality Assurance audits of scanning and works with the employees involved to correct any deficiencies. 
  • Creates annual reports to the Director of Health Services and Clinic Managers detailing the volume, and Quality reports of the Scanning department.

ADDITIONAL DUTIES:

· Perform other duties and projects as required by management.

KNOWLEDGE, SKILLS AND ABILITIES:

· Accurate typing/data entry skills.

· Must have good organizational skills and be able to work independently.

· Computer experience required.

· The ability to communicate effectively and accurately with providers, patients, and other staff.

· Required to abide strictly by confidentiality policy.

· Knowledge of RPMS & EHR a plus.


Minimum Qualifications for Consideration: 

  • High School Diploma or equivalent required.
  • Experience with medical terminology, scanning, and Electronic Health Records.
  • Two (2) years experience working in a medical office environment.
  • Two (2) years specialized experience in medical records preferred.

PHYSICAL REQUIRMENTS: 

  • Prolonged sitting or standing.
  • Repetitive motion at a computer.
  • Light lifting, stooping, and bending will be required.
  • The ability to handle a large workload with demanding deadlines.

ENVIRONMENTAL CONDITIONS: 

· Health facility office environment.
