Description
The Accounts Payable & Receivable Clerk is responsible for processing vendor invoices, issuing customer invoices, reconciling accounts, and supporting month-end close activities. This dual-role position requires strong organizational skills, accuracy, and the ability to communicate effectively with internal and external stakeholders.
Requirements
Accounts Payable (AP)
- Receive, review, and code vendor invoices in the accounting system
- Match purchase orders, packing slips, and invoices to ensure accuracy
- Schedule and process weekly check runs and ACH payments
- Reconcile vendor statements and resolve discrepancies
- Maintain AP files and vendor records
- Respond to vendor inquiries regarding payment status
Accounts Receivable (AR)
- Generate and send customer invoices promptly and accurately
- Post cash receipts, process credit memos, and apply payments to customer accounts
- Reconcile AR sub-ledgers to the general ledger on a monthly basis
- Monitor aging reports; follow up on past-due accounts and prepare statements
- Collaborate with sales/customer service teams to resolve billing disputes
- Prepare write-off and bad debt analysis as needed
Month-End & Reporting
- Assist with month-end close: accruals, journal entries, and account reconciliations
- Prepare AP and AR schedules and reports for management review
- Support external and internal audits by providing documentation and explanations
Qualifications & Skills
- Education: Associate degree in Accounting, Finance, Business Administration, or a related field required; bachelor’s degree preferred. Candidates currently pursuing a qualifying degree may also be considered.
- Experience:
- 2+ years in accounts payable and accounts receivable roles
- Experience with ERP/accounting software (e.g., QuickBooks, Sage, NetSuite, Microsoft Dynamics)
- Technical Skills:
- Strong Excel skills (VLOOKUP, pivot tables)
- Familiarity with electronic payment processing and banking portals
