A growing insurance defense law firm is seeking a technically strong and detail-oriented Billing Manager to join our Chicago office. This full-time position offers a competitive salary, comprehensive benefits, and the opportunity to play a key role within the Firm’s Finance team.


Position Overview:

The Billing Manager supports the Firm’s billing operations by overseeing the invoicing process, managing e-billing functions, supporting billing team development, and ensuring accurate and timely client billing. This role works closely with attorneys, legal support staff, and the Finance team to help maintain efficient billing workflows, resolve billing issues, and support client service initiatives.


This position requires strong technical billing knowledge, attention to detail, and the ability to manage competing priorities in a fast-paced environment. The ideal candidate is proactive, solutions-oriented, and collaborative, with a hands-on approach to leadership and a willingness to support both daily billing functions and broader departmental initiatives.

This position reports directly to the Director of Finance.


Primary Responsibilities:

  • Lead, mentor, and support the billing team while fostering a collaborative and accountable work environment. 
  • Prepare, review, edit, and oversee client invoices to ensure accuracy, timeliness, and compliance with client billing guidelines. 
  • Manage electronic billing submissions and monitor invoice status through various e-billing platforms. 
  • Research and resolve billing discrepancies, rejected invoices, and billing-related inquiries. 
  • Maintain strong communication with attorneys, legal support staff, clients, and internal departments regarding billing matters. 
  • Monitor billing deadlines, prioritize assignments, and assist the team with high-volume workflows as needed. 
  • Support accounts receivable follow-up and billing adjustments as necessary. 
  • Generate billing, WIP, and accounts receivable reports using firm billing systems and Excel tools. 
  • Support month-end billing processes and assist with special projects as assigned. 
  • Demonstrate leadership and initiative in supporting firmwide billing projects, system enhancements, workflow improvements, and departmental initiatives. 
  • Assist with onboarding, training, mentorship, and development of billing team best practices. 
  • Contribute to a collaborative, team-oriented environment with a willingness to assist wherever needed. 

Qualifications:

  • 5+ years of billing experience within a law firm environment required. 
  • Experience within an insurance defense law practice is strongly preferred. 
  • Strong technical knowledge of legal billing systems, including Aderant and/or Elite 3E. 
  • Experience working with LEDES (Legal Electronic Data Exchange Standard) billing formats. 
  • Hands-on experience with e-billing platforms, including CounselLink, Tymetrix, Legal Tracker, Legal-X, Bottomline Legal Exchange, Acuity, and similar systems. 
  • Advanced proficiency in Microsoft Office Suite and PDF editing software, including Excel functions such as pivot tables, VLOOKUP/XLOOKUP, filtering, and reporting tools. 
  • Ability to analyze billing data, troubleshoot issues, and manage high-volume workflows with accuracy and efficiency. 
  • Prior leadership experience, mentorship responsibilities, or demonstrated initiative within a billing environment preferred. 
  • Strong organizational, communication, and problem-solving skills. 
  • Team-player mentality with a positive attitude, adaptability, and a commitment to continuous improvement and team development. 
  • Ability to manage multiple priorities while meeting daily, weekly, and monthly deadlines.

Compensation and Benefits Overview: $100,000-$120,000 (DOE)

The compensation offered for this role will vary based on factors such as job-related knowledge, skills, and experience. Eligible employees may also receive bonuses and other forms of compensation, contributing to a comprehensive total rewards package. Benefits offerings may vary by location.
