LEASING ASSOCIATE
JOB DESCRIPTION
Reports to: Community Manager
FLSA Status: Non-Exempt. Position is eligible for overtime.
The Leasing Associate will receive general supervision, direction and guidance from the Community Manager.
CRM Residential requires a background and drug screening as a condition of employment.
Qualifications:
- Education: High School diploma or equivalent education required.
- Experience: Previous leasing associate experience. Experience level may vary due to the special needs of the property.
- Skills: The position requires the ability to deal well with people and get them to feel comfortable quickly. Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
Attendance: Due to the property staffing limitations, it is extremely critical that the individual be able to work their scheduled hours plus any other hours necessary to complete the job.
Physical Requirements:
- Stand and walk or sit alternatively depending on specific needs of the day.
- Constant need to bend/stoop/squat, climb stairs, push, or pull, reach above shoulder, filing, open/close doors/drawers, grasping/turning, writing/typing
- Frequent lifting/carrying (paperwork, deliveries, files, miscellaneous) less than 20 lbs.

The Leasing Associate will comply with established policies and authorized approval. Leasing Associate's responsibilities include, but are not limited to the following:
DUTIES AND RESPONSIBILITIES
- Resident selection and screening according to the property's current Resident Selection Criteria. Also refer to the appropriate section of the Operations Manual.
- Processing of all applications subsidized and market applicants. Applications should be processed in a timely manner and prepared for submission to the New Jersey Housing Mortgage Finance Agency (NJHMFA) for approval.
- Responsible for the preparation and status of the vacancy report, traffic reports and status of move out notices. Reports are faxed to CRM Residential each Monday morning to the attention of the Executive Vice President with a copy going to the Regional Manager.
- Maintain the property's waiting list according to the guidelines set forth by the New Jersey Housing Mortgage Finance Agency (NJHMFA) and CRM Residential.
- Maintain Leasing Center in an orderly and professional manner and according to established office hours. Scrapbook with pictures, carpet samples, various flyers and current newsletters will be on display for applicants. Refreshments will always be fresh and displayed appropriately. Hand-out material will be prepared in advance
- Responsible for all follow-up with applicants. Telephone calls will need to be made to those applicants not submitting all required paperwork or those individuals not returning completed applications. Thank you cards and greeting cards will be mailed out to individuals visiting the Leasing Center.
- Proper procedures will be followed for answering the telephone and making appointments for interviews and showing apartments
- Coordinate and communicate with Maintenance Supervisor projected ready dates of apartments that have already been pre-leased. Maintain vacancy board in Management Office which will match weekly vacancy report.
- Follow up will be done on all individuals listed on the traffic report who do not submit an application. Individuals will need to be called and invited into the Leasing Center to complete the necessary paperwork.
- Maintain accurate and updated resident information cards which will include name, address, telephone number, move in date, size of apartment.
- Responsible for all supplies for the Leasing Center. Responsible for cleanliness and reporting maintenance problems.
- Attend seminars and trade association meetings as recommended by the New Jersey Housing Mortgage Finance Agency and CRM.
- Prepare quarterly marketing surveys of the competitive area and provide comparison grids and suggestions to the Executive Vice President, Regional Manager, and the Community Manager. Shop the competition quarterly to remain aware of marketing conditions
- Participate in the move-in orientation in various ways; deliver move in gift to welcome new resident, introduce new resident to their immediate neighbors, send a thank you or welcome letter a few days after moving in, telephone new resident one week after move-in inquiring if everything in apartment is satisfactory.
- Responsible for giving weekly vacancy report to the Occupancy Department at CRM. Maintain vacancy manual with accurate move in and move out dates.
- Maintaining and preparing a draft annual marketing budget and marketing plan to Community Manager in preparation of the new annual budget each calendar year.
- Responsible for reporting directly to the Community Manager and completing other job-related tasks as assigned.
- Prepare and coordinate semi-annual surveys to be distributed to residents inquiring about their interest for social events, improvements to the property or to their apartments.
- Assisting office staff with various functions such as resident parties and crime watch programs.
- Review exit interviews with residents when move out notices are submitted
- Draft preparation of a Leasing Procedures Manual for review and approval by management prior to formal implementation.
