JOB SUMMARY The Associate Talent Acquisition Coordinator (Recruiting Operations) plays a key role in supporting the day-to-day execution and administration of the hiring process, ensuring accuracy, consistency, and efficiency across all recruitment activities. This role partners closely with the Talent Acquisition Manager, hiring managers, and HR Business Partners to support both recruiting operations and moderate full-cycle hiring efforts.


Success in this role means recruitment workflows run smoothly, requests are processed accurately and in a timely manner, and hiring teams are supported with clear communication, consistent follow-up, and organized processes. This individual helps maintain strong visibility into hiring activity, ensures systems and data are up to date, and contributes to a positive and seamless candidate experience.


This position also supports ongoing process improvements, documentation, and system enhancements, helping to strengthen and standardize how hiring is executed across the organization.


ESSENTIAL DUTIES AND RESPONSIBILITIES


Talent Acquisition Operations & Administration (Primary Focus)

  • Own the day-to-day administration of the recruitment process, ensuring accuracy, consistency, and efficiency across all hiring activities.
  • Ensure complete and accurate processing of Request-to-Hire (RTH) submissions, proactively following up with hiring managers and HR Business Partners to resolve missing or incomplete information.
  • Manage the recruiting inbox by reviewing, categorizing, and responding to incoming inquiries, requests, and submissions from hiring managers and internal stakeholders.
  • Support job posting activity by posting roles as needed and reviewing postings submitted by business units for accuracy and consistency.
  • Manage and maintain ADG’s job description library, including creating, editing, formatting, and organizing job descriptions.

ATS, Reporting & Process Support

  • Maintain accurate and up-to-date candidate and requisition data within the ATS (Paylocity), ensuring data integrity and compliance.
  • Provide regular and ad hoc updates on hiring activity, including open roles, pipeline status, and hiring progress.
  • Support job posting strategies, including job board activity and sponsorship tracking.
  • Assist with ATS workflows, templates, and system updates including screening questions and candidate communication templates.
  • Monitor ATS functionality and partner with HRIS to resolve system issues.
  • Support development of recruiting templates, tools, and documentation.
  • Support employer branding efforts by ensuring job postings, messaging, and candidate-facing materials are consistent and aligned with ADG standards
  • Support hiring managers in following established recruiting processes and best practices to ensure consistency across business units

Recruitment Execution (Moderate Ownership)

  • Support full-cycle recruitment for assigned roles while partnering with the Talent Acquisition Manager and hiring managers.
  • Partner to support sourcing, screening, and pipeline management; lead inake discussions for assigned roles.
  • Assist with sourcing and screening across roles, including providing support to other recruiters when needed.
  • Provide consistent updates on candidate progress and maintain regular follow-up with stakeholders.
  • Support offer preparation and candidate communication through the offer stage.
Requirements

EDUCATION, EXPERIENCE & QUALIFICATIONS  


Required Qualifications

  • 2+ years of experience in recruiting, talent acquisition coordination, or HR support roles
  • Experience supporting recruitment processes, including job postings, scheduling, candidate communication, and ATS updates
  • Experience working within an Applicant Tracking System (ATS)
  • Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment
  • Strong attention to detail and accuracy in data entry, documentation, and reporting
  • Effective communication skills and ability to collaborate with hiring managers and HR partners
  • Must be legally authorized to work in the United States


Preferred Qualifications (Nice-to-Haves)

  • Experience in construction, manufacturing, or multi-site environments
  • Familiarity with Paylocity or similar ATS platforms
  • Experience supporting recruiting operations, reporting, or process improvement initiatives
  • Experience sourcing candidates using job boards, LinkedIn, or direct outreach
  • Experience working in high-growth or decentralized organizations
