General Position Description: Performs administrative and clinical support functions for the medical staff as a supportive member of an interdisciplinary team dedicated to the coordination of integrated care. Completes administrative tasks and engages in client interactions to ensure the medical department effectively supports each member’s care and needs.
Essential Duties and Responsibilities:
- Schedules appointments and referrals as indicated. Requests physicians’ schedules for next day. Serves as a liaison between physicians and other agencies.
- Facilitate patient flow and ensure an accurate and complete medical record for each patient efficiently and cost effectively.
- Responsibilities include facilitating communication and coordination among team members to promote continuity of care, fostering a supportive environment, and ensuring that all services are delivered in alignment with client-centered, trauma-informed principles.
- Prepares and files medical charts as needed. Develops, maintains and updates files, logs, manuals and handbooks for medical staff. Gathers information on community resources for medical staff.
- Documents all client interactions thoroughly and consistently to meet weekly and monthly documentation requirements. Ensures records are accurate, timely, and meet quality standards to support care coordination and compliance. Documentation will be monitored regularly for accuracy and completeness as part of ongoing quality assurance.
- Assists organization in meeting quality metrics, insuring that standard clinical practices are completed and documenting for reporting (e.g. PHQ9 scores, laboratory evaluations).
- Obtains and records vital signs in members’ charts prior to appointments, psych evaluations, when a patient begins a new medication or is scheduled for follow-up care, or upon request of a physician or nurse. Alerts medical staff to abnormal vital signs or any patient concerns.
- Monitors refill/Medline phone calls on an hourly basis, obtaining information needed for refills. Requests refills as needed.
- Answers phone requests from reception for prescription pickup, delivers prescriptions to members, and reports member/family questions or issues to nursing.
- Ensures that all service delivery practices are guided by the principles of trauma informed care. Responds effectively to members’ needs and problems. Provides patient education; reviews and explains physician’s instructions.
- Assists with patient appointment flow; covers front desk. Provides assistance with certified mail, copying, faxes, chart retrieval, etc. Maintains office equipment. Performs inventory control and orders supplies.
- Adheres to Health Insurance Portability and Accountability Act (HIPAA) of 1996.
- Participates in the process of ongoing professional development and meetings. Maintains comprehensive communication among all contacts within the agency, members, and external agencies. Models professional standards and ethics in accordance with EBF Code of Conduct, Strategic Plan, Mission, and Vision.
- Performs other duties as assigned.
Minimum Requirements: High School Diploma/GED with 2 years of experience or MA Certification required. Bilingual (Spanish) preferred.
Regulatory
- Must be at least 21 years of age.
- Current, unrestricted AZ driver’s license with no more than two (2) minor moving violations or one (1) accident within the past three (3 years). Three (3) years of driving experience required.
- Transportation to attend trainings and perform other work-related activities. Organizational vehicles may not be available at all times.
- Must be able to pass a criminal background check prior to employment and regular checks for the duration of the employment.
- Ability to obtain and maintain an AZ DPS Level 1 fingerprint clearance card (employer provides).
- CPR and First Aid certification (Employer provides).
- Satisfactorily Completed Competency Checklist within 3 months of hire.
Skills/Job Knowledge/Abilities: Able to establish and maintain a team atmosphere of communication and collaboration for all that reach out to the Department. Must be self-directed and be sensitive to cultural and linguistic diversity. Excellent customer service in stressful situations. Maintains a professional in appearance, communications, and actions. Excellent interpersonal communication skills. Knowledge of medical language and environment. Possess a high level of computer proficiency.
Working Conditions/Physical Requirements (with or without accommodation): Normal office environment with multiple interruptions in person and through computer and phone. Interacts with employees and members of the public on a daily basis. May lift normal office equipment and materials up to 25lbs. Visual acuity to read information from computer screens and forms. Able to speak clearly in conversations and general communications. Hearing ability for communication in persona, phone, and/or other electronic methods. Manual dexterity for typing and writing. Able to stoop, squat, reach, pull, push, stretch, ascend and descend stairs, stand and sit for long periods of time. May be required to work additional hours or days depending on circumstances.
