Description

  

Reporting to the Director of Renewals, the Contract Specialist (CS) is responsible for ensuring the accuracy, completeness, and compliance of sales submissions prior to contract execution. This role serves as a critical quality checkpoint between Sales and Operations, helping to prevent downstream errors, protect revenue, and enable seamless service delivery.

While the role may initially support contract entry into internal systems, it is designed to evolve into a contract audit and validation function, ensuring all submissions meet company standards before processing.

This position requires full-time, in-office attendance during the initial onboarding and training period (approximately 90 days). Upon demonstrating proficiency and meeting performance expectations, the role will transition to a hybrid schedule, with a minimum of three days per week in the office.

  

Key Responsibilities

Contract Audit & Validation

  • Review and      audit sales submissions for accuracy, completeness, and compliance      with company policies
  • Validate key      contract elements, including pricing, scope of services, terms, and      required documentation
  • Identify      discrepancies, missing information, and potential risks prior to contract      execution
  • Ensure      submissions are properly structured for downstream systems and service      delivery

Collaboration & Issue Resolution

  • Partner with      Sales, Operations, and cross-functional teams to resolve submission issues      efficiently
  • Communicate      clear, actionable feedback to stakeholders regarding required corrections
  • Collaborate on      complex or high-value contracts to ensure proper setup and execution

Service Levels & Productivity

  • Meet or exceed      defined service levels for turnaround time, accuracy, and throughput
  • Effectively      manage workload to support business volume and deadlines
  • Escalate      capacity challenges, risks, or high-impact issues as needed

Quality Control & Continuous Improvement

  • Act as a first      line of defense against revenue leakage and operational errors
  • Identify trends      and recurring issues within sales submissions
  • Provide      insights and recommendations to improve submission quality and process      efficiency
  • Support process      improvements and system enhancements

Additional Responsibilities

  • Assist with      contract entry or administrative support during transitional phases
  • Maintain      documentation and reporting related to audit activities
  • Perform      additional duties as assigned

   

Requirements

  

Qualifications

  • Associate      degree or equivalent combination of education and experience
  • 2–5 years of      experience in contract administration, sales operations, account      management, or a related field
  • 2+ years of      experience working in Salesforce or a similar CRM system
  • High attention      to detail with strong analytical and problem-solving skills
  • Ability to      manage multiple priorities in a fast-paced environment
  • Strong verbal      and written communication skills
  • Proven ability      to collaborate and build relationships across teams
  • Proficiency in      Microsoft Office (Excel, Word, Outlook)
