Description

Company Overview: AOSN (Animal Outpatient Specialty Network) is the nation's first network of specialist-led, outpatient-only veterinary hospitals. We bring together top board-certified specialists across dermatology, dentistry, ophthalmology, and more, giving them the support, infrastructure, and community to practice medicine at the highest level.


Position Overview: We are seeking a Project Manager to lead or co-lead ezyVet practice management system implementations across the AOSN network. This role drives migrations from initiation through go-live, provides ongoing system support to network practices, and coordinates integrations with third-party platforms. In addition to ezyVet-focused responsibilities, the Project Manager contributes to broader technology and operational initiatives and serves as a second-line resource for helpdesk ticket resolution within the ezyVet eco-system (including integrated platforms).


This position is 100% remote, with frequent travel (up to 75%) to practice locations for ezyVet migrations, company meetings, and other projects. Home office needs to be a compatible working environment and working hours while at home will be 8a-4p or 9a-5p based on your home time zone, unless other arrangements have been approved. Working hours will widely vary while traveling.
Requirements

Key Responsibilities: 


EzyVet Migrations

  • Lead or co-lead end-to-end project management of ezyVet migrations for new and existing AOSN network practices, from scoping through post-go-live stabilization.
  • Develop and maintain detailed migration project plans, timelines, and task trackers; proactively identify risks and dependencies.
  • Coordinate data mapping and migration of legacy practice data (patient records, invoicing history, inventory, etc.) into ezyVet.
  • Partner with practice leadership, and support staff to align workflows and configure ezyVet to meet site-specific operational needs, while also aligning the system to meet enterprise standards.
  • Facilitate pre-migration testing and auditing to ensure launch readiness.
  • Provide on-site or remote go-live support and coordinate hypercare coverage in the days following each launch.
  • Document lessons learned and continuously refine the migration playbook to improve speed and quality across future rollouts


Ongoing ezyVet Support

  • Serve as a primary point of contact for ezyVet questions, issues, and enhancement requests across the AOSN network.
  • Troubleshoot system configuration issues, workflow gaps, and user errors; escalate bugs to ezyVet support when appropriate.
  • Administer and maintain ezyVet system settings, user accounts, permission levels, and configuration updates.
  • Develop and deliver ezyVet training materials, quick-reference guides, and knowledge base articles for network staff.
  • Monitor platform release notes and communicate relevant updates, new features, and deprecations to stakeholders.
  • Track and report on system adoption, usage metrics, and open support issues across practices.


Integrations Support

  •  Support the configuration, testing, and ongoing maintenance of integrations between ezyVet and associated platforms (e.g., payment processors, client engagement platforms, imaging systems, inventory management, third-party APIs).
  • Coordinate with integration vendors, ezyVet support, and internal technical resources to resolve data sync issues and connectivity errors.
  • Participate in scoping and requirements gathering for new integration projects; document integration specifications and workflows.
  • Validate integration performance post-launch and monitor for data discrepancies or failures.


Helpdesk & General Support

  • Provide second-line support to resolve incoming helpdesk tickets related to ezyVet and associated systems.
  • Maintain accurate ticket documentation, status updates, and resolution notes within the helpdesk platform.
  • Identify recurring issues and escalate patterns to leadership to inform systemic fixes or training needs.


Project & Cross-Functional Support

  • Contribute to other technology and operational projects as assigned by leadership.
  • Collaborate cross-functionally with operations, finance, and clinical teams to ensure project alignment with network priorities.
  • Maintain clear and consistent communication with stakeholders throughout all project phases.


  

Qualifications:


Required

  • 3+ years of project management experience, with a demonstrated track record of managing software implementations or system migrations.
  • Hands-on experience with ezyVet or comparable veterinary/healthcare practice management systems.
  • Strong understanding of practice workflows in a veterinary, healthcare, or multi-site services environment.
  • Proficiency with project management tools (e.g., Monday.com, Asana, Jira, Smartsheet, or similar).
  • Excellent organizational, communication, and stakeholder management skills.
  • Ability to manage multiple concurrent projects and priorities in a fast-paced environment.
  • Comfortable working directly with end users at all levels, including non-technical staff.

Preferred

  • Direct ezyVet implementation or administration experience strongly preferred.
  • Experience supporting software integrations or working alongside technical/API integration teams.
  • Familiarity with helpdesk ticketing platforms (e.g., Zendesk, Freshdesk, Jira Service Management).
  • PMP, CAPM, or equivalent project management certification a plus.
  • Background in veterinary practice operations or multi-site healthcare/services networks.

Salary Range: $70K - $90K, based on previous experience and qualifications.
