GENERAL DESCRIPTION

This position provides administrative support to the Chief Operating Officer and Chief Clinical Officer. The Administrative Assistant requires the ability to work in a fast-paced executive-level environment. Critical thinking and problem-solving skills, along with proactive thinking, are necessary. Responsibilities include, but are not limited to, scheduling/purchasing provider travel, overseeing the on-call schedule for providers, taking minutes for meetings, coordinating/setting up meetings, and other supportive functions to the departments. 

Requirements

ESSENTIAL DUTIES

  1. Provide general clerical and administrative support to the COO/CCO and for others as directed by the COO/CCO, including but not limited to writing correspondence, maintaining schedule/calendar, filing, etc.
  2. Responsible for travel arrangements for providers related to continuing education.
  3. Track provider continuing education allowance and provides staff with regular updates on available funds.
  4. Coordinate provider meetings including scheduling, distribution of the agenda, taking minutes and distribution of minutes.
  5. Change the on-call providers to match the call schedule.
  6. May assist with presentation creation, data collection, and/or assisting with preparation of materials for meetings.
  7. Collaborates with other Administrative Assistants, employees, and departments to set up and support meetings. 
  8. Primary contact for employees and visitors to the Administrative Office, providing excellent customer service.
  9. Provides clerical support to the COO/CCO’s direct reports.

QUALIFICATIONS

  1. Experience in a business office setting. Preferably in a healthcare related business office setting. 
  2. Valid Driver’s License as travel may be required.

  7. Be courteous and respectful when interacting with patients and family members.
  8. Maintain patient confidentiality in accordance to organization’s policy and procedure and HIPAA requirements.
  9. Must possess organizational skills, time management, prioritizing duties.
  10. Proficient with Microsoft Office products.
  11. Maintains a high level of confidentiality in all aspects of the position.

WORKING CONDITIONS

While performing the duties of this Job, the employee is regularly required to sit; use hands and fingers to operate computer keyboard, handle, or feel; reach with hands and arms and talk or hear. The employee is occasionally required to stand. The employee may occasionally lift and/or move up to 10 pounds. Specific vision abilities required by this job include close vision, color vision, peripheral vision, depth perception and ability to adjust focus. Computer work is frequent. Good lighting and comfortable temperature of ventilation at all times.
