About the Role: 


We are seeking a highly organized and proactive Executive Assistant to support our CEO and executive team. This individual will serve as a critical partner in managing the CEO's daily operations, coordinating schedules across the executive team, and leading key programs including corporate travel and company-wide events. The ideal candidate thrives in a fast-paced environment, anticipates needs before they arise, and brings strong follow-through to every project.


Executive Support

  • Provide comprehensive administrative support to the CEO, including calendar management, correspondence, and daily prioritization
  • Draft, format, and refine executive-level presentations, reports, and communications
  • Prepare and submit CEO expense reports accurately and on time
  • Help translate CEO priorities into clear action plans, tracking follow-up items to completion
  • Organize and coordinate key CEO activities, projects, and initiatives
  • Can operate with a level of discretion and ability to maintain confidentiality

Executive Team Scheduling

  • Manage appointment scheduling and calendar coordination for members of the executive team
  • Resolve scheduling conflicts and proactively manage competing priorities
  • Coordinate logistics for executive meetings, including agendas, materials, and follow-ups

Travel Program Management

  • Own and lead the company's travel program end-to-end
  • Book and manage complex domestic and international travel itineraries for the CEO and executive team
  • Establish and maintain travel policies, preferred vendor relationships, and cost-management practices
  • Troubleshoot travel issues in real time and adjust itineraries as needed

Vendor & Event Management

  • Serve as the primary point of contact for assigned vendors supporting business operations
  • Negotiate assigned contracts and manage vendor relationships to ensure quality service and cost efficiency
  • Plan and execute key company events (e.g., all-hands meetings, offsites, board meetings, holiday events), managing logistics from concept through execution
Requirements
  • 5+ years of experience as an Executive Assistant, ideally supporting a CEO or senior executive 
  • Exceptional organizational skills with strong attention to detail 
  • Strong PowerPoint skills; ability to build polished, executive-ready presentations
  • Basic proficiency in Excel (data entry, simple formulas, formatting) 
  • Proven experience managing corporate travel programs and vendor relationships 
  • Strong written and verbal communication skills 
  • Ability to handle confidential information with discretion and professionalism 
  • Skilled at creating action plans and driving initiatives to completion 
  • Experience planning and executing corporate events 
  • Ability to work independently, prioritize competing demands, and adapt quickly to shifting priorities
