Zwicker is currently seeking a Receptionist to join our team. This role involves managing front desk and switchboard responsibilities, including operating an automated call distribution system with a user-friendly point-and-click interface for transferring calls. The Receptionist will greet all visitors, ensure proper sign-in and identification procedures, issue badges, and confirm visitors are escorted by an employee at all times. Additional administrative duties include maintaining daily logs and tracking systems for deliveries and visitor badges.
The base hourly rate for this position is $20.00
Responsibilities include
- Daily Coverage of the front desk, answering phones, greeting employees and guests
- Maintain high security standards at the front desk at all times
- Welcome, screen, and register all visitors by determining the purpose of the visit, notifying the appropriate personnel, registering the visitor on the check-in kiosk, and facilitating badge handoff
- Manage the temporary badge process by maintaining an accurate log, ensuring timely badge returns, and partnering with IT for activation of temporary badges and deactivation of unreturned badges
- Answer and manage incoming calls and emails by transferring all correspondence to the appropriate person or department.
- Utilize the Recovery Management System (RMS) to effectively support consumers by locating and verifying the account, updating RMS with the correct code, and transferring the call to the appropriate department
- Serve as a point of contact for the building property manager regarding work order submission and follow-up
- Process all incoming deliveries by receiving and logging packages, maintaining accurate delivery records, and ensuring timely distribution to the appropriate employee or department
- Process incoming bankruptcy documents by performing accurate and timely data entry, sorting mail, and distributing it to the appropriate person or department
- Manage the parking pass system by assigning parking passes to employees, maintaining accurate assignment records, tracking the lifecycle of each parking pass by updating the internal record when there has been a change, and partnering with HR to collect and reconcile parking passes upon an employee’s separation from the Firm
- Special projects as needed
- Other duties as assigned
- One year of minimum experience in a similar receptionist, call center, or front desk role
- Demonstrated ability to manage calls with clear, concise, and professional communication
- Adheres to established building security protocols for both visitors and employees
- Effectively engages with office staff, clients, and visitors both in person and over the phone
- Reliable and punctual with a strong sense of responsibility
- Ability to maintain a professional appearance consistent with the Firm's dress code and professional demeanor at all times
- Proficient in Microsoft Word and Excel; comfortable navigating computer systems
- Be able to communicate in a common language with (or to) individuals or groups verbally and/or in writing
- Be able to operate a computer, phone, or equivalent device
- Be able to complete a minimum of a 40-hour flexible workweek schedule
- Be able to read and comprehend position-specific documents and correspondence
Physical Qualifications
- Be able to lift five pounds or greater
- Be able to sit 90% of the workday at times
- Be able to bend at the waist and be mobile when needed
- Be able to concentrate and use critical thinking
