The HUD Compliance Assistant provides administrative and file-processing support for affordable housing and HUD programs. This position is responsible for assisting with the preparation, organization, review, and processing of resident certification and recertification paperwork to help ensure resident files are complete, accurate, and maintained in accordance with applicable HUD and affordable housing requirements.
The ideal candidate will have previous experience working with HUD or affordable housing programs and understand the importance of accurate documentation, deadlines, and detailed recordkeeping. This is a support position and does not require the candidate to hold an affordable housing certification.
Job Responsibilities:
- Review move-in, annual recertification, interim certification, and other resident paperwork for completeness and accuracy.
- Process and organize resident files and supporting documentation in accordance with HUD and affordable housing requirements.
- Review income, asset, household, and rent documentation and identify missing or incomplete information.
- Follow up with on-site staff and/or residents to obtain missing documentation or corrections.
- Assist with processing HUD and affordable housing certifications and recertifications.
- Enter and maintain resident certification and compliance information in the property management software.
- Maintain accurate electronic and paper compliance files.
- Assist with preparing files for internal compliance reviews, audits, and monitoring visits.
- Assist with responding to file-related questions and requests from management, compliance personnel, and regulatory agencies.
- Track upcoming certification deadlines and help ensure required paperwork is completed timely.
- Assist with maintaining current rent and income limit information and other compliance-related records.
- Review resident files for common compliance issues and bring potential concerns to the attention of the appropriate supervisor or Compliance Director.
- Assist with correcting file deficiencies and maintaining documentation of completed corrections.
- Assist on-site teams with questions regarding HUD paperwork, certification requirements, and required documentation.
- Maintain confidentiality of resident information and handle sensitive documentation appropriately.
- Perform other administrative and compliance-related duties as assigned.
We are looking for someone who has hands-on experience with HUD housing paperwork and resident file processing and understands the importance of accuracy and compliance. The successful candidate does not need to be a compliance expert or hold a certification but should have enough affordable housing experience to understand the basic requirements, identify missing or questionable documentation, and know when an issue needs to be escalated.
This position is primarily focused on processing, reviewing, organizing, and maintaining compliance documentation, rather than independently managing the property's overall compliance program.
