Referral Specialist

POSITION SUMMARY:

The Referral Specialist performs scheduling, paperwork and coordination duties when a referral is being made for a specialist or a test outside of the Health Center.  


ESSENTIAL DUTIES AND RESPONSIBILITIES:

  1. Schedules patient appointments with outside specialists and for outside tests; copies, prepares and forwards medical records as appropriate; records referrals in computer log.
  2. Assists with obtaining insurance referrals and documentation; obtains pre-authorization for tests as needed.
  3. Notifies patients of appointment dates, times and other important information.
  4. Notifies scheduling of follow up appointments.
  5. Notified provider(s) if referral appointment is going to be lengthy or is incomplete.
  6. Monitors referral sheets for timely retrieval of outside office notes.
  7. Prepares monthly tracking reports for administration.
  8. Work independently to obtain referrals both via computer, telephone, or any other sources required to obtain referral/scheduling.

NON-ESSENTIAL DUTIES AND RESPONSIBILITIES:

  1.   Provides backup for other departments as needed.
  2.   Performs other duties and tasks as assigned.

While performing the duties of this job, the employee is frequently required to stand; walk; sit; use hands to finger, handle, or feel, including operation of a standard computer keyboard; reach with hands and arms and talk, see and hear; prolonged sitting and extensive use of the telephone is required. Eye hand coordination and manual dexterity required. The employee must occasionally lift/move up to 25 pounds, bend, stoop, stretch or crouch. Specific vision abilities required by the job include close vision, distance vision, and the ability to adjust focus.

Work is performed primarily in a medical office setting. Noise level is usually quiet.  


QUALIFICATIONS NEEDED FOR POSITION:

Experience and Skill Requirements: The following experience and skills are considered essential:

  • At least one year of experience performing clerical or administrative work in a healthcare setting preferred.
  • 1 year experience with electronic referral process.
  • Electronic medical record experience preferred.
  • Computer experience using Microsoft Office software products preferred. 
  • Ability to communicate and present information.
  • Ability to work independently and efficiently with multiple priorities.


Education Requirements: The following education requirements are considered essential:

  • High School diploma or equivalent with emphasis on office and business skills including, keyboarding, filing, and multi-tasking, required.
