We are searching for an experienced candidate for the position of Event Management Specialist in Arlington, VA.
Summary
Provides Army National Guard event planning and execution support with primary responsibility for market research, hotel coordination, letters of intent, logistical planning, and facilities and audiovisual coordination.
Responsibilities
- Review, process, and monitor assigned ARNG conference submission packets and coordinate with action officers throughout the event lifecycle.
- Conduct market research, cost analysis, and site-location surveys in accordance with applicable conference guidance.
- Prepare Cost Analysis Forms and submit market-research findings through the required review process.
- Provide approved hotel Letter of Intent templates, coordinate signatures with hosting properties, and route agreements to the Conference Management Chief for approval.
- Coordinate logistical support, including meeting space, attendee lodging, transportation, audiovisual requirements, facilities, and security support for classified events when required.
- Capture logistics plans and provide weekly status updates, including reconciliation of event-registration and hotel-registration data.
- Assist with site surveys to evaluate cost-effective and efficient event locations.
- Execute assigned Tier 1 and Tier 2 events and coordinate meetings with conference support offices.
- Bachelor’s degree in relevant field, or in lieu of education must have 8 years of relevant work experience
- 3-5 years of relevant event management, conference support, program support, or administrative experience
- Experience conducting event-related market research, cost comparisons, hotel coordination, or site surveys
- Strong written communication, editing, research, data analysis, and organizational skills
- Proficiency with Microsoft Office applications and the ability to maintain accurate tracking spreadsheets, correspondence, and briefing materials
- Complete required ETMS2 training before system access and maintain required security-awareness training
- Must be available to support in-person requirements at ARNG Headquarters, Arlington, VA, as needed
- Must possess an active Secret Clearance-Required
Preferred Qualifications
- Experience supporting DoD or National Guard conferences and applying CNGBI 8100.01A conference policy
- Hands-on experience with ETMS2 and the Department Conference Reporting Tool
- Experience coordinating multi-party event logistics under firm deadlines
