We are searching for an experienced candidate for the position of Senior Event Management Specialist /Team Lead at NGB Joint Staff in Arlington, VA.
Summary
Leads day-to-day conference management support for National Guard Bureau Joint Staff events, oversees complex and high-visibility event packages, and provides quality control and operational coordination across the event management team.
Responsibilities
- Lead quality-control reviews of event request packets, deliverables, correspondence, tracking products, and briefing materials for accuracy, completeness, timeliness, and compliance with governing policy.
- Review, process, and monitor assigned NGB Joint Staff conference submission packets in ETMS2 before forwarding them for processing.
- Provide senior planning guidance to the Conference Management Chief and recommend solutions for complex event coordination or packet-compliance issues.
- Lead annual conference data calls, prepare and review Monthly Status Report inputs, and support required annual and ongoing conference reporting.
- Oversee complex packages and Tier 1 events and co-execute assigned high-visibility events, including coordination with action officers and support organizations.
- Maintain the conference planning and management SOP and the evaluation record of prior event locations and site performance.
- Support development and maintenance of the Quality Control Plan; identify deficiencies and track corrective actions to prevent recurrence.
- Prepare fiscal-year conference review presentations, analytical memoranda, and briefing materials for government approval; recommend improvements to conference training materials.
- Coordinate facilities, audiovisual support, security, transportation, lodging, meeting space, and other conference support requirements.
- Maintain relationships with internal and external government contacts and participate in conference management program meetings.
- Serve as the alternate Contract Manager when designated, with authority to support contract performance and ensure work remains within contract scope.
- Bachelor’s degree or in lieu of degree must have 8 years of experience
- 5+ year’s event and meeting management
- 5+ years planning National Guard and Army Reserve events for Federal Conference
- 5+ of those years as Assistant Event Manager directing up to six Event Planners across up to 360 events per quarter.
- Demonstrated experience leading teams and performing quality control for complex, deadline-driven work
- Strong written communication, editing, research, data analysis, and organizational skills
- Proficiency with Microsoft Office applications and the ability to maintain accurate tracking spreadsheets, correspondence, and briefing materials
- Complete required ETMS2 training before system access and maintain required security-awareness training
- Must be available to support in-person requirements at NGB Joint Staff, ARNG, Arlington, VA, as needed
- Requires a highly experienced professional with proven ability to work effectively with senior military leadership and a strong understanding of the contract’s objectives, requirements, and operational environment
- Must have an active Secret Clearance-Required
Preferred Qualifications
- Experience supporting DoD or National Guard conferences and applying CNGBI 8100.01A conference policy
- Hands-on experience with ETMS2 and the Department Conference Reporting Tool
- Working knowledge of DoD and National Guard conference policy and event approval processes
