The Staff Coordinator is responsible for maintaining compliance, daily operations, and achieving goals set forth by the home care agency.

Organizational Relationship

The Staff Coordinator reports to the Branch Director.

Duties:

1. Receives referrals and inquiries.
2. Identifies needs of consumer and schedules appropriate personnel.
3. Schedules and coordinates day-to-day activities of private duty field staff.
4. Recruits, interviews, screens, and tests all applicants; makes initial hiring decision.
5. Photocopies all licenses and appropriate identification of new employees.
6. Verifies valid licenses and background checks with appropriate licensing body.
7. Provides orientation of paraprofessional employees.
8. Manages, distributes and maintains documentation in employee and consumer files for compliance.
9. Provides pertinent documentation to the Branch Director and RN Supervisor (where applicable) on employee performance, positive and negative.
10. Conducts annual personnel evaluations of direct caregivers.
11. Reports pertinent consumer and employee information at the office staff meetings.
12. Responds promptly and courteously to all consumers’ and employees’ calls.
13. Communicates continually with employees, service coordinators, governing bodies and consumers to evaluate service, including required reporting.
14. Works “on-call” on an as-needed basis for scheduling substitutions and new cases during the hours the office is closed.
15. Approves time slips to coordinate with Kan-Time check ins and check outs, compiles and processes for payroll.
16. Records missed shift reports, as required.
17. Notifies RN Supervisor of new open assessments or performs open assessments, as needed.
18. Enters all info into consumer file in Kan-Time after open assessment.
19. Serves as liaison between direct caregivers and the RN Supervisor, as needed.

20. Performs billing, receivable, authorizations and account functions, as required.

21. Performs other duties as assigned by Branch Director.

Qualifications:

Must be a high school graduate and at least 20 years old. Must possess effective communications skills, be flexible and have the ability to guide others. Must have computer experience. Previous supervisory or management experience is preferred.

What you'll actually do

 
You'll support consumers with the everyday tasks that let them stay safely and comfortably in their own homes, following a care plan built by the staff coordinator. Day to day, that looks like: 

• Planning and preparing meals that fit each consumer's dietary needs 
• Light housekeeping that keeps the home safe and comfortable - bed linens, dusting, vacuuming, kitchen and bathroom, laundry 
• Personal care done with dignity: bathing, grooming, oral hygiene, hair care, and toileting 
• Helping with walking and movement when a consumer uses a walker or other aid 
• Companionship that matters - reading together, walks, and getting to appointments 
• Grocery runs and errands when they're needed 

You'll report any change in a consumer's condition to your staff coordinator, and you're never working without backup - you're supervised and scheduled by the agency team, so you always know who to call. 

A couple of things this job is not. You won't be cutting anyone's fingernails or toenails, and you won't be doing heavy labor - no oven cleaner, no moving furniture or appliances, no heavy snow shoveling, no ladders. The work is personal and steady, not backbreaking. 

Pay, hours, and territory

Competitive rates, bi-weekly pay, and hours flex around your personal availability and patient needs. 

Clients are located all throughout the Westmoreland County & neighboring counties, but we actively try to match DCWs with clients who are closest in proximity. 

What you'll need 

• To be at least 18 years old 
• A valid U.S. Driver's License and reliable transportation to and from appointments
• The physical ability to handle the daily tasks of the role 
• To read, write, understand, and speak English 
• Mature, responsible judgment and a real respect for consumer privacy 
• Willingness to complete our employment process and follow the care plan
