Description

 SUMMARY:


Analyze and maintain all project-related contracts, budgets, billing, accounts receivable, change orders, and project profitability reports for assigned Project Managers. Review project financial reports with the project managers and identify areas of risk and ways to mitigate loss. The primary responsibility will be project billing, however; the Project Accountant will be expected to analyze and resolve accounting discrepancies and perform other duties assigned. The candidate should have a Bachelor’s Degree in Accounting and have a good understanding of general accounting principles.


Staff Accountant Duties


· Monthly Financial Reporting

  * Collections reports

  * Billing and collection summary

  * Employee utilization

  * Special purpose reporting as needed

· Annual Financial Reporting

  * Sales by State

  * Top Client Report

  * Industry Surveys

· Compliance Audits (City and other clients)

  * Complete audits withing 45 days to be timely

  * Maintain a spreadsheet which cross-references the City contract number, Prime and Subs to EDI Ajera client number

  * Correspond with City compliance officer and Prime Contractor to address discrepancies

· Accounts Payable

  * Set up authorized new vendors in Ajera

· Collect Form W-9

  * Review vendor invoices submitted to Accounts Payable and enter in Ajera

For overhead charges, assign to correct G/L account

For project charges, assign to correct project with assistance of PM

· Clean Harbors invoices need to be summarized on a special Excel spreadsheet

  * Reconcile vendor statements

  * Notify Accounting Manager of invoices requiring payment


Included PWP invoices

· Employee Expense Reimbursement Review

  * Review for propriety, completeness and receipts

  * Gather approvals and more documentation as necessary

  * Record all education and license-related expenses in the Employee License spreadsheet


Project Accountant Duties


· Review contracts and set up new clients/projects in Ajera, including billing rate tables

· Bill projects monthly or in accordance with the clients’ and PMs’ direction 

· Review WIP aging reports to ensure all necessary billing is done, change orders requested, etc.

· Prepare documentation for large write-offs

· Work with client systems to submit and correct billing

· Maintain client-specific Excel worksheets for client-required reporting

Requirements

 

Knowledge of accounting including Generally Accepted Accounting Principles. Clear understanding of the differences between cash and accrual basis accounting. 

Ability to analyze project performance trends, transactions, and financial performance and communicate results and recommendations to the appropriate personnel.


1. 5 + years of experience in billing or a similar role.

2. A self-starter. 

3. Possess exceptional communication (both oral and written) and interpersonal skills.

4. Attention to detail.

5. Ability to work within an environment with deadlines.

6. Performing efficiently in Microsoft Office Suite (Outlook, Word, and Excel).

7. Working with others within the organization with a positive, helpful attitude; taking ownership of the role and seeking ways to improve processes.
