Core Responsibilities of a Inspection Manager

(Reporting to the Total Service Manager)

Field Team Leadership

  • Direct Oversight of Technicians: Supervise day-to-day activity of fire alarm, sprinkler, extinguisher, and suppression technicians.
  • Daily Dispatch & Labor Planning: Ensure techs are scheduled efficiently, with appropriate skill sets assigned to jobs.
  • Daily Work Order Review: Ensures completed WOs are ready for billing
  • Timecard & Payroll Review: Approve daily/weekly hours, ensuring accuracy and overtime control.
  • Field Coaching & Ride-Alongs: Conduct regular in-field visits for quality control, safety, and coaching purposes.

Operational Execution

  • Work Order Management: Ensure timely completion of repairs, inspections, and follow-up deficiencies.
  • Backlog Reduction: Actively monitor and work backlog to avoid aged WOs, missed inspections, or delayed repairs.
  • Inspection Readiness:  Confirm jobs are properly prepared (material, documents, tools) and inspection ready before dispatch.

Customer Service Support

  • Field-Level Escalations: Handle on-site customer issues, rework needs, or delays before escalating to Total Service Manager.
  • Quality Assurance:  Conduct periodic QC on inspections and repairs to ensure code compliance and customer satisfaction.

Scheduling & Dispatching

  • Assign work orders to technicians based on availability, skill set, location, and job priority.
  • Coordinate scheduling details with customers and subcontractors as needed.
  • Maintain a forward-looking schedule with at least 45 days of inspections planned in advance.
  • Route technicians strategically to minimize drive time and maximize billable efficiency.

Team Development & Performance

  • Mentorship & Support: Develop technician skill sets and assist with NICET certifications, licensing, or on-the-job training.
  • Performance Reviews: Provide input on performance evaluations, coaching, and disciplinary actions.
  • Culture & Morale: Foster a positive work environment aligned with safety, accountability, and growth.

Safety & Compliance

  • Jobsite Safety Oversight: Ensure proper PPE, safe practices, and incident reporting protocols are followed.
  • Tool & Vehicle Management: Verify that tools, ladders, test equipment, and vehicles are maintained, tracked, and used properly.
  • Compliance Checks: Support audits or inspections related to NFPA, OSHA, AHJ, and company standards.

Internal Collaboration

  • Scheduling Team Liaison: Work closely with schedulers and dispatch to make real-time adjustments and solve technician issues.
  • Project & Install Coordination: Coordinate technician crossover for inspection/repairs post-project when needed.
  • Inventory/Material Needs: Support procurement and tracking of technician materials/tools/equipment.
  • Help conduct interviews/hiring for new technicians.
  • Manage or help monitor third-party vendors or subcontractors.
  • Provide weekly updates or reports to the Total Service Manager on field performance.
