Position Overview: The Financial Assistant will play an essential role in our finance and accounting operations. A detail-oriented professional, the financial assistant will have a strong background in various accounting functions, with a particular emphasis on payroll management. You will be responsible for a range of tasks including payroll, purchasing, financial reporting, and other various accounting duties.

Essential Job Functions

Responsibilities:

  • Manage and process payroll for employees, ensuring accurate calculations, deductions, and timely distribution of payments.
  • Maintain employee payroll records, including tax withholdings, benefits, and other relevant information.
  • Stay up-to-date with tax regulations and employment laws to ensure compliance in payroll processing.
  • Organize and maintain a systematic filing system for contracts and agreements, ensuring easy retrieval and documentation accuracy.
  • Collaborate with relevant departments to gather and file contracts in a timely manner.
  • Coordinate rent collection from tenants, ensuring timely invoicing and follow-up on outstanding payments.
  • Maintain accurate records of rental payments received and address any payment discrepancies.
  • Prepare and issue manual checks for special payments, reimbursements, or exceptional circumstances as needed.
  • Process and file 1099 forms accurately and in compliance with regulatory requirements.
  • Maintain records of 1099 vendors and payments.
  • Compile and send cash ledgers to the bookkeeping team to facilitate accurate financial record-keeping.
  • Generate and compile financial reports, summaries, and analyses as required by management.
  • Contribute to the preparation of financial statements and reports for internal and external stakeholders.
  • Assist in tracking and recording company purchases, ensuring proper expense categorization and documentation.
  • Manage the receipt verification process, reconciling receipts with expenditures and maintaining accurate records.
  • Monitor and reconcile credit card transactions, ensuring accuracy and compliance with company policies.
  • Billing within State eXPRS system.
  • Other duties as assigned.

Qualifications:

  • Bachelor's degree in accounting, Finance, or related field (or equivalent experience).
  • Proven experience as a Financial Assistant or similar role.
  • Strong understanding of payroll processing, taxation, and employment regulations.
  • Proficiency in accounting software and Microsoft Excel.
  • Excellent organizational skills with a keen eye for detail.
  • Strong analytical and problem-solving abilities.
  • Effective communication skills, both written and verbal.
  • Ability to work independently and collaboratively within a team environment.
  • Knowledge of financial regulations and compliance standards.
Salary Description
$47,840- $62,400
