HVAC Service Contracts Administrator

Description

The Contracts Administrator will be responsible for maintaining documentation and records proficiently to ensure correctness and promptness in support of our Preventive Maintenance base across the platform. You will handle and resolve problems and disputes, maintain spreadsheets for reconciliation purposes, and interact with both external and internal customers. 

Requirements

· Reporting activities related to pertinent processes.

· Keeping track of PMA Base, amortization Schedules, Billings for Time of Service PMAs, and adding new Accounts

· Coordinate and manage all annual PMA Renewals

· Liaising with Operations and Finance to gather and share relevant information.

· Improving and redesigning processes.

· Maintaining records and documentation of all PMA Base.

· Maintaining confidentiality of information.

· Setting up new Contracts or change orders in ERP.

· Various tasks as required.


REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES

· Outstanding financial and analytical skills.

· Proficient computer skills.

· Proficient with MS Office Excel.

· Outstanding communication skills, both verbal and written.

· Excellent organizational skills.


EDUCATION AND EXPERIENCE

· High school diploma or GED equivalent required.

· BA degree in accounting, finance, economics, or related field preferred.

· 5 plus years of direct related work experience


PHYSICAL REQUIREMENTS

• Required to stand, walk, and sit.

• Talk or hear, both in person and by telephone.

• Use hand (s) and fingers to handle or feel objects or controls. 

• Reach with hand (s) and arm (s). 

• Regularly required to stoop, kneel, bend, crouch, and lift to 50 pounds.
