Salary Range: $81,000.00 to $86,000.00

Job purpose

The Member Services Manager plans, directs, and coordinates BIAW’s three annual state Board of Director Meetings, the bi-annual Building Leaders’ Summit, and various other association events. In addition, the position provides and facilitates supportive services between members, the board of directors, the National Association of Home Builders, and BIAW’s 14 local associations. 


Duties and responsibilities

MEETING PLANNING

  • Plan, direct, and coordinate three board meetings (winter, summer, and fall)
  • Create budgets for each event as part of the annual budget process
  • Prepare, negotiate, analyze, and review contracts including event space, food and beverage, overnight rooms, etc.
  • Work with fundraising staff to ensure sponsorship obligations for the board meetings are fulfilled
  • Create and manage the timeline, program, and task list for events
  • Coordinate meeting correspondence and travel needs of attendees
  • Ensure the event is completed smoothly, including coordinating all operations and supporting support
  • Calculate the share of local costs for attendees per event
  • Analyze the event’s success and adjust future events accordingly
  • Lead annual planning and budget meeting, bi-annual Building Leaders Summit, and the needs of any other meetings that may arise

ASSOCIATION SERVICES AND SUPPORT

  • Serve as administrative liaison between the senior officers, executive committee, board of directors, members, and BIAW’s 14 local associations
  • Oversee the administration and help implement the decisions of the senior officers, executive committee, and board of directors
  • Manage all notices for association events
  • Coordinate with BIAW Communications Department to create marketing materials and publication advertisements
  • Create marketing content for BIAW’s monthly magazine, Building Insight and other electronic publications and social media platforms
  • Coordinate the association’s annual recognition awards

Miscellaneous

  • Collaborate with coworkers to coordinate staff gatherings and events
  • Help prepare the annual budget for meetings, events, and related departments, supplies, equipment, and contract services

Qualifications

  • Bachelors Degree (required)
  • Three to five years of meeting planning experience desired
  • Skilled in project management
  • Excellent organization skills
  • Proficiency with MS Office Suite, office technology, and equipment, such as computers, copiers, and phone systems
  • Outstanding communication and negotiation ability
  • Knowledge of basic administrative and clerical systems and procedures

Working conditions

Office setting with prolonged sitting/standing at times. Occasional physical tasks, i.e., organizing equipment, moving furniture, and loading/unloading. The position will require periodic in state overnight travel to meetings.

Physical requirements

  • Must be able to lift and carry or otherwise move 50 pounds occasionally 
  • Moving self in various positions to accomplish tasks in various environments 
  • Repeating motions that may include the wrists, hands, and or fingers 
  • Legally and physically able to drive long distances to attend events at local associations
