Colliers | Wisconsin is seeking an experienced Senior Client Services Coordinator to support one of our top Brokerage teams. This is a highly visible, onsite role focused on transaction execution, broker support, marketing and delivering exceptional service to clients. This role is ideal for someone with deep experience in broker administration or a former residential or commercial real estate agent who thrives in a fast-paced, detail-driven environment. You will play a critical role in keeping transactions moving, ensuring accuracy, and supporting brokers so they can focus on client relationships and deal strategy. We are looking for someone who brings ownership, collaboration, and care into their work every day.
Key Responsibilities
Transaction Management and Brokerage Support
- Coordinate commercial real estate transactions from listing through closing, including leases, renewals, amendments, and sales
- Prepare and manage transaction documentation, timelines, critical dates, and approvals
- Track deal progress and ensure all steps are completed accurately and on time
- Serve as a key point of contact for brokers, clients, attorneys, and internal partners
- Maintain organized and accurate transaction files and records
Marketing and Client Materials
- Prepare offering memorandums, proposals, presentations, and marketing materials
- Customize and format materials using InDesign, Adobe, PowerPoint, or similar tools
- Ensure all materials align with Colliers branding and quality standards
- Support property listings, client pitches, and internal reporting needs
Administrative and Operational Excellence
- Provide high-level administrative and operational support to the brokerage team
- Manage competing priorities with strong attention to detail and follow-through
- Identify process improvements to enhance efficiency and reduce errors
- Anticipate broker and client needs and proactively solve problems
- 5–10 years of experience in a broker admin, transaction coordinator, client services, or similar commercial real estate role, or prior experience as a residential or commercial real estate agent
- Strong understanding of commercial real estate transactions and documentation
- Exceptional organizational skills and attention to detail
- Experience creating marketing and presentation materials (InDesign, Adobe, PowerPoint, or similar)
- Confident communicator with the ability to work across teams and with clients
- Ability to manage multiple transactions and deadlines in a fast-paced environment
- Real estate license is a plus but not required
