Purpose of the Role

The Procurement Specialist develops and manages a disciplined, scalable procurement function. This position blends technical quoting, vendor negotiation, and operational fulfillment to ensure clients receive the correct hardware and software solutions on time, within budget, and aligned with Nexus technical standards.

Internally, you provide leadership with clear visibility into spending, renewal cycles, and cost-saving opportunities that enhance both profitability and service quality.


Essential Duties and Responsibilities

Quoting & Procurement

  • Build accurate hardware and software licensing quotes using distributor tools and vendor portals.
  • Translate technical requirements into appropriate configurations, SKUs, and licensing models.
  • Manage all client hardware sourcing, ordering, and delivery logistics from order through deployment readiness.
  • Ensure quotes and purchases align with Nexus technical standards, budgets, and project scope.

Software Licensing & Renewals

  • Track and manage client and internal software licensing, maintenance, and subscription renewals.
  • Proactively manage renewal schedules and collaborate with sales and customer success teams to communicate upcoming deadlines.
  • Identify opportunities to optimize licenses and reduce costs.

Vendor & Contract Management

  • Negotiate pricing and terms with distributors, vendors, and service providers.
  • Evaluate vendors on cost, quality, and delivery performance; maintain up-to-date vendor documentation and escalation contacts.
  • Identify cost-saving opportunities through vendor consolidation and improved purchasing strategies.

Asset & Inventory Management

  • Track the full procurement lifecycle: quoting ? purchasing ? delivery ? documentation ? asset tracking.
  • Receive, label, and organize incoming hardware; maintain a clean, orderly shop and receiving area.
  • Maintain accurate records for warranty, lifecycle, and depreciation schedules.

Process & Reporting

  • Build and maintain standardized procurement workflows, approval processes, and purchasing controls.
  • Deliver monthly reporting on completed and in-progress procurement activity.
  • Partner with Finance to align purchasing decisions with budget and forecasts.

Key Success Factors

  • Technical Competency: Strong working knowledge of PC hardware (desktops, laptops, servers, networking) and common MSP technology stacks; ability to evaluate specs and build quotes independently.
  • Accuracy & Attention to Detail: Consistently accurate quotes, orders, renewals, and SKUs — errors directly impact margins and client satisfaction.
  • Vendor Leverage: Skilled at negotiating cost and value advantages with suppliers.
  • Predictability: Keeps renewals, shipments, and purchasing cycles on or ahead of schedule.
  • Operational Ownership: Manages the full procurement lifecycle independently with minimal supervision.
  • Communication & Coordination: Keeps internal teams and clients informed with clear expectations and no surprises.

Working Conditions

This is primarily an on-site position at our downtown Salt Lake City headquarters. Regular attendance at the location is required to receive shipments, manage hardware inventory, and support internal logistics.

Requirements

Experience and Education


Required

  • Procurement, operations, or IT/technical sales experience; candidates with strong PC hardware knowledge are encouraged to apply even without a traditional procurement title.
  • Hands-on knowledge of PC hardware components: desktops, laptops, servers, and networking equipment.
  • Familiarity with MSP operations, IT infrastructure, and licensing models (e.g., Microsoft, AWS, RMM tools).
  • Proven negotiation skills with vendors, distributors, and service providers.
  • Experience managing software contracts, renewals, and vendor evaluations.
  • Proficiency with procurement systems, ERP tools, or asset management platforms.
  • Strong analytical, organizational, and cross-functional collaboration skills.

Preferred

  • Experience with multi-vendor MSP environments (Dell, HP, Cisco, Microsoft, Google, VMware, etc.).
  • Experience with IT distributors such as Ingram Micro, Pax8, or TD SYNNEX.
  • Familiarity with Microsoft CSP, volume licensing, or SaaS subscription management.
  • Relevant certifications: CPSM, CSCP, or ITIL Foundation.

Education

  • Bachelor's degree in Business, Supply Chain, Finance, IT, or equivalent relevant experience.
