Description

Catering Department Description: The Catering Department is responsible for planning, coordinating, and executing club and private events. The department works closely with culinary, operations, and service teams to ensure events run smoothly and meet client expectations. By overseeing both administrative planning and on-site event support, the Catering Department helps deliver well-organized and memorable experiences for members and guests.


Position Summary: The Catering Intern will assist the Director of Catering while gaining hands-on experience in event planning, administrative tasks, and operational processes. The intern will support the coordination and execution of club and private events while contributing to a seamless and welcoming experience for members and guests, reflecting the club’s commitment to excellence, professionalism, and genuine hospitality.


Primary Duties and Responsibilities: 

· Screen calls for the Catering Office, respond to general inquiries, and assist members appropriately. 

· Develop a strong knowledge of Columbia’s history and departmental operations to effectively support members and staff.

· Prepare and distribute contracts, UBI forms, and Banquet Event Orders (BEOs) through DocuSign for host signatures.

· Help maintain workload balance by assigning incoming events to catering managers. 

· Assist with event packet preparation for operations. 

· Prepare event materials, including signage, menus, place cards, and other printed items as needed.

· Assist with creating event diagrams, timelines, and layout plans.

· Provide on-site support during events to ensure smooth execution.

· Assist with updating event templates and standard operating procedures (SOPs).

· Support planning and execution of large-scale events and tournaments. 

· Maintain strict confidentiality with all member information, ensuring privacy and discretion in all communications and records.

· Complete other duties and special projects as assigned by the Director of Catering and/or General Manager.

Requirements

· Currently pursuing a degree in hospitality management, event management, business, or a related field.

· Strong organizational and time management skills, with the ability to handle multiple tasks and deadlines with professionalism and discretion.

· Demonstrated commitment to providing excellent service, including professional phone etiquette, and strong communication and interpersonal skills when interacting with members, guests, and staff

· Detail-oriented with the ability to assist with event logistics and administrative tasks.

· Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and quick to learn new systems.

· Ability to work both independently and collaboratively in a team environment.

· Willingness to work evenings, weekends, holidays, and on-call shifts as required

· Ability to lift and move objects up to 25 lbs. 

Salary Description
20.00
