Job Summary:
The Private Events Intern is primarily responsible for assisting in the support and execution of private events at the Hall of Fame Village, including planning, coordination, and activation of private events across the campus. This role is ideal for someone who thrives in a fast-paced environment, enjoys working with a variety of people, and is eager to gain hands-on experience in event operations.
The ideal candidate will bring strong interpersonal and communication skills, a proactive mindset, and a willingness to take on tasks of all sizes – from administrative support to on-site event assistance. An interest in event management, sports, entertainment, or related fields is highly valued, and prior experience in events or customer service is a plus.
Essential Job Functions/Responsibilities:
- Provide superior guest service to visitors, guests, clients, vendors, and staff.
- Coordinate and attend all client meetings, walk throughs, vendor meetings, and private events; lead all final meetings and become primary point of contact for booked clients.
- Actively participate in private event sales efforts, including prospecting new clients, responding to new inquiries and following up on leads.
- Support the sales process by preparing proposals, pricing packages, and contract agreements tailored to client needs.
- Attend networking events, trade shows, and community events to generate leads and build brand awareness.
- Track sales goals and performance metrics to contribute to overall event revenue growth.
- Assist with marketing initiatives for private events, including email campaigns, promotional materials, and social media outreach.
- Assist Events team and other departments (Operations, Security, AVI, Custodial, etc.) with their efforts to maximize attendance, engage guests, and attract business sponsors as needed.
- Develop client relationships to ensure long-term patronage.
- Coordinate a seamless event execution process with the support of relevant internal departments.
- Complete the booking process with the support of relevant internal departments.
- Respond in a timely manner to all calls, inquiries, and emails.
- Maintain organized and accurate records, including event documentation, client information, contracts, invoices, and other administrative materials, ensuring all data is up-to-date and easily accessible for the Events team.
- Attend networking events and trade shows as needed.
- Accurately and diligently maintain records and track customers and prospects.
- Demonstrate adaptability by assisting with a wide range of event-day needs, which may include supporting operational areas outside typical responsibilities such as parking, guest services, concessions, and other on-site functions to ensure smooth event execution.
- Develop Banquet Event Orders (BEOs): collect event details from clients and internal teams; outline all needed services such as rentals, catering, bar, entertainment, and décor; confirm logistics with vendors and staff; and create clear, accurate BEOS and update them as changes come in.
- Communicate Banquet Event Orders (BEOs): prepare BEOs for weekly operations meetings; review upcoming events with the operations team and highlight key needs; make sure each department understands their responsibilities; and share updates or changes throughout the week as needed.
- Pre-event setup, rehearsals (when applicable), and day-of coordination of all events – adhering to timeline throughout duration of event.
- All other duties as assigned.

Required Knowledge, Skills, & Desired Qualifications:
- Minimum of High School Diploma or GED
- Exceptional verbal and written communication skills.
- Communicate clearly and respectfully with co-workers, volunteers, management, clients, vendors, and guests to help create a positive, enthusiastic, and cooperative event environment.
- Ability to work a flexible schedule (nights, weekends, and holidays as necessary) is required.
- Maintain a positive, friendly, and approachable attitude, as this role involves frequent interaction with the public.
- Must be a flexible and reliable team player, both within own department and entire organization.
- Ability to work independently while maintaining a high level of performance, working quickly without compromising quality.
- Must have the ability to demonstrate uncompromised judgment and discretion regarding confidential matters while maintaining confidentiality.
- Proven ability in Microsoft Office Suite.
- Currently enrolled in a college or university program.
Physical Requirements for Position:
- The ability to lift up to 25 pounds regularly.
- The ability to work in various Ohio weather conditions, inside and outside.
- The ability to work with hot, cold, and hazardous equipment as well as operate phones, computers, copiers/scanners, and other office equipment.
- The ability to move safely over uneven terrain, steps, or in construction zones.
- The ability to see and respond to hazardous situations.
- The ability to sit, stand, squat, bend, stoop, twist, walk, and complete repetitive hand and write motions for periods of time as required for the position.
