Senior A/R Specialist
Description

The Senior AR Specialist secures company liquidity by overseeing the end-to-end order-to-cash cycle. This role focuses on accurate invoicing, efficient payment application, and proactive debt collection to minimize financial risk. Key duties include managing real-time customer credit monitoring and ensuring seamless data flow between dual Transportation Management Systems and Sage Intacct.

The starting pay for this position is expected to be $36.00 to $43.50 per hour. Exact compensation is based on skills, experience, education, and location.


Job Duties - Senior A/R Specialist

  • Manage the full AR cycle, including preparing and distributing invoices, credit memos, adjustments, refunds, and statements. 
  • Manage a high-volume portfolio with a focus on reducing DSO to <40 days. 
  • Monitor and track that all invoices are uploaded timely into client portals; escalate rapidly when invoices fail to auto-upload or are rejected. Investigate root causes of rejections and troubleshoot with the appropriate stakeholders to prevent recurrence. 
  • Oversee daily cash posting completed by our third-party provider (Payex) by the established daily deadline; ensure accuracy, resolve discrepancies, and maintain up-to-date AR records. 
  • Perform high-priority collection calls for accounts reaching the 45-day past-due threshold; maintain detailed collection notes documenting all outreach activity, customer responses, commitments to pay, and follow-up actions taken. 
  • Proactively follow up on overdue accounts through professional phone, email, and written correspondence; see each collection effort through to resolution, balancing competing deadlines and prioritizing accounts by urgency and risk. 
  • Enforce "Credit Holds" in accordance with company policy. 
  • Escalate past-due matters appropriately and collaborate with the Controller, Accounting Manager, Sales, and Operations as needed. 
  • Perform new customer setup, gather required documentation, and support basic credit analysis and credit limit recommendations. 
  • Evaluate Credit Limit Increase Requests by analyzing internal payment history alongside external bureau reports. 
  • Maintain the Customer Master File, ensuring all accounts are mapped to correct Creditsafe IDs. 
  • Manage the weekly Creditsafe Trade Payment Data upload. 
  • Monitor Creditsafe 3D Monitoring alerts; proactively flag "High Risk" score drops. 
  • Investigate and resolve customer inquiries, discrepancies, and billing questions with clear, timely, and professional communication, partnering with Sales, Customer Service, and Operations as needed. 
  • Distribute the Weekly AR Summary Report to the Sales team every Friday. 
  • Prepare routine AR and aging reports; monitor payment trends and identify potential risks. 
  • Support month-end close with accurate AR reporting, reconciliations, and documentation. 
  • Maintain a service-first mindset, ensuring every customer interaction reflects our commitment to world-class service. 
  • Contribute ideas and participate in initiatives aimed at improving AR workflow, accuracy, and efficiency. 
  • Stay current on AR best practices, industry standards, and relevant regulatory requirements.
  • Other special projects, duties, and business initiatives as assigned.
Requirements
  • Intermediate to Advanced Excel skills (VLOOKUPs, Pivot Tables) for reconciling large datasets from multiple sources and reporting.
  • Experience with ERP or accounting software, such as Sage Intacct is a plus.

Education and Experience

Bachelor’s degree in accounting or related field and 4+ years of relevant experience in B2B accounts receivable, credit, and collections experience, with a strong understanding of accounting principles or equivalent combination of education and experience. 


Physical Requirements

The usual and customary methods of performing the job's essential functions require the following physical demands: operating a computer, remaining stationary for most of the shift, and occasionally moving about the workspace. The person in this position frequently exchanges information using email and other electronic communication methods and must be able to observe and report on communication received via phone and computer.
