GENERAL DESCRIPTION OF THE POSITION:
The Admissions Coordinator at Tatum Psychology Employment Group will play a pivotal role in our organization’s growth and patient care. The Admissions Coordinator will be the first point of contact for prospective clients, providing compassionate guidance and ensuring seamless access to our comprehensive mental health services.
ESSENTIAL FUNCTIONS:
Work Schedule: Monday, Wednesday, Friday and Weekend Availability
1. Admissions Coordination
- Oversee the admissions process from initial inquiry to admission, ensuring a smooth, compassionate, and supportive experience.
- Assess treatment eligibility based on admission criteria, insurance policies, and input from clinical staff.
- Complete thorough pre-assessments with potential clients to determine appropriate levels of care.
2. Client Communication & Engagement
- Answer inbound calls, chats, and form submissions from potential clients, their loved ones, and referring professionals.
- Maintain a comprehensive understanding of all services offered and strategically present treatment options to clients, families, and community partners.
- Explain insurance benefits, payment options, and financial assistance to clients and families seeking treatment.
3. Systems & Documentation
- Utilize CRM, Call Tracking Metrics, and other internal systems to track inquiries, manage client data, and streamline admissions workflows.
- Act as a liaison for referral sources, collecting documentation, gathering collateral information, and providing updates on admissions and discharges.
4. Interdepartmental Collaboration
- Collaborate with clinical staff, administrative teams, and leadership to remove barriers to admission and ensure timely access to care.
- Work cross-functionally to ensure a coordinated and effective intake process that reflects best practices in behavioral health admissions.
ADDITIONAL FUNCTIONS:
- Performs other duties as may be assigned.
- Follows and supports TPEG policies and procedures.
- Works collaboratively and cooperatively with internal and external partners.
- Represents TPEG, Inc., by embodying the mission, vision and values of the organization.
- Travels occasionally during the workday and on occasional overnight stay. (Compensation for mileage, food and lodging provided.)
- Maintains regular attendance at work and company activities and demonstrates punctuality regarding deadlines.
- Displays creativity and vision in recommending new tactics and strategies.
- Expands and updates job knowledge through educational opportunities and professional learning.

MINIMUM QUALIFICATIONS:
- EDUCATION: High School Diploma.
- RELATED EXPERIENCE: One to three (1-3) years of experience in mental health services, coordination, or case management.
- OTHER EXPERIENCE / SKILLS REQUIRED:
- Demonstrated ability to build rapport with clients and families.
- Demonstrated ability to possess strong phone and computer skills.
- Demonstrated ability to maintain confidentiality, regarding patient, employee, and company proprietary information.
- Valid Driver’s License / Clean Driving Record
PREFERRED QUALIFICATIONS:
- Proficient in English Language
- Proficient communicator
