As a Licensing & Reporting Compliance Assistant, you’ll support our team in managing out-of-state licensing, registrations, and reporting processes across a variety of jurisdictions.

This role focuses on assisting with research, coordination, and day-to-day execution to help ensure our clients remain compliant and well-supported

What You’ll Do


 Licensing & Reporting Support
- Assist with preparing, submitting, tracking, and maintaining alcohol-related licenses, tax accounts, and brand registrations across multiple states and tiers.
- Support monthly, quarterly, semiannual, and annual compliance reporting processes; ensuring accurate online and hard-copy submissions

Compliance Operations & Team Support

- Support compliance audits by gathering information and helping maintain accurate documentation.
- Assist with departmental initiatives.
- Maintain organized electronic files, records, and client documentation.
- Provide support during fiscal license renewal periods as part of the renewal team.
- Help maintain and update internal procedures and process documentation.

Client & Team Support
- Support Specialists I, II and III with client-related tasks and communications.
- Assist in preparing for client meetings and maintaining a professional company image.
- Coordinate with Compliance Assistants and team members on delegated tasks.
- Maintain confidentiality and handle sensitive information with care.

General & Administrative Responsibilities
- Monitor regulatory updates and share relevant information with the team.
- Track and log billable and administrative time accurately.
- Support daily administrative tasks such as mail preparation, scanning, filing, and document handling.
- Participate in company meetings, trainings, and team initiatives.

What You Bring

- 1–3 years of wine industry compliance, regulatory, or administrative experience (or similar field).
- Ability to follow established processes while supporting multiple team members.
- Strong organizational skills and attention to detail.
- Good research and communication skills, with a willingness to learn.
- Proficiency in Microsoft 365, Outlook, Excel, Adobe Acrobat, and ShipCompliant (or similar tools).
- Familiarity with TTB COLA Registry or NetSuite is a plus.
- A proactive and supportive mindset with a willingness to assist where needed.
- Comfort with standard office equipment and digital tools.
- Valid driver’s license and occasional travel availability.
- Flexibility to support the team during peak regulatory periods.

Salary Description
