COMMUNICATIONS COORDINATOR
Description

The Communications Coordinator is responsible for the daily assistance and ongoing initiatives relating to the communication and event coordination for Sea Oaks Property Owners Association, Inc. To be successful in this role, the Communications Coordinator should be detail-oriented, have exceptional organizational skills, and manage their time efficiently.


Essential Roles & Responsibilities:

Job responsibilities include, but are not limited to:

  • Provide daily support to the Communications and Marketing Manager, including but not limited to – answering phones, booking member travel for club-related events and scheduling meetings.
  • Proofread all periodicals as needed for proper grammar and correct dates. 
  • Coordinate and assist with all company publications from concept to completion, as requested.
  • Provide training on internal calendar usage and policies. 
  • Assisting with member email campaigns 
  • Update, create, and maintain various internal documents and calendars. 
  • Perform clerical duties, including filling, copying, faxing, and composing correspondence as needed. 
  • Keep the office organized, clutter-free, and properly archive club material
  • Departments, Committees, and Events 
  • Communicate with departments and committees to ensure the website club calendar is correct and up to date. 
  • Coordinate with Beach Club to ensure weekly dining schedule and upcoming event details are in order for email communication. 
  • Interact with committee chairs to assist in planning, scheduling, and communicating for events 
  • Take reservations for card room, community room, community center meeting rooms, and events. 
  • Assist with the design & distribution of promotions for member-related activities and events 
  • Organize set-up details for scheduled events and meet with the appropriate staff on needs
  • Completed special committee projects are assigned 
  • Facilitate Oaks to Ocean Newsletter

Website:

  • Update and manage new member information on the website 
  • Review the website and update as needed to ensure all links and the data are current  
  • Assist with Facebook Campaigns 
  • Assist with LinkedIn Campaigns
  • Maintain and manage residential pages on the website 
  • Update online directory as needed
  • Assist members with troubleshooting the website 

Miscellaneous:

  • Support Serving Aces program 
  • Track opting out of the directory and communications 
  • Photography of events as needed
  • Update the reciprocal program as needed
  • Assist with responding to marketing inquiries (website and phone) 
  • Assist with marketing-related events


Requirements

To be successful in this role, the Communications Coordinator must:

  • Possess exceptional organizational skills, time management and detail-orientation.
  • Possess a proficiency in Microsoft Suite: Word, PowerPoint, Excel, Outlook. Experience with Canva is preferred.
  • Be at least eighteen (18) years of age.
  • Be an excellent communicator through written and verbal communications.
  • Be able to see,read, and hear.
  • Be able to lift up to twenty pounds intermittently.
  • Be able to sit for an extended period of time.
