About the Role
The Real Estate Sales Transaction Coordinator Admin is the reason the Homewise Real Estate Sales team can spend their time with clients instead of buried in paperwork. You're the productivity multiplier for the RES team — the person whose steady support means transactions move smoothly, compliance never slips, and every buyer walks away from their closing feeling celebrated.
Reporting to the Qualifying Broker, the role blends operational precision with real hospitality. On one side, you're the keeper of contracts, timelines, and compliance across an active pipeline of transactions. On the other, you're the one who thinks about the gift bag, the greeting card, the follow-up months after closing — the touches that turn a client into a repeat client and a referral source. The role suits someone who sees a contract audit and a closing gift bag as two ends of the same craft. This role also carries a shared responsibility for Homewise's sales goals: you'll be expected to contribute directly to the team's monthly contract volume.

What You'll Be Doing
- Reviewing and auditing contracts and commissions before closing and requesting and reviewing preliminary settlement statements to verify every line item aligns with the purchase agreement.
- Tracking contract status across STARS, contract trackers, and RES folders, and keeping lenders and title companies updated as files move.
- Maintaining all RES contracts and documents in compliance with the Real Estate Commission of New Mexico, including Buyer Broker Agreements and no-go offers.
- Preparing closing packets — gift bags, hard drives of the file, greeting cards, and closing emails — so every client's transaction ends on a memorable note.
- Maintaining post-closing client relationships, including sharing further education opportunities, requesting referrals, and gathering client stories and closing photos for marketing.
- Partnering with the Marketing team to update and maintain templates, request materials, and keep RES's marketing assets current.
Expected Outcomes
- Identify opportunities to enhance the productivity and effectiveness of the RES Team.
- Manage RES under-contract procedures to ensure compliance with local, state, and national requirements.
- Support the Homewise mission by averaging or exceeding 3 sale contracts per month, contributing to an office total of 36 or more contracts per month.

Education and Experience
- High school diploma or equivalent.
- New Mexico Real Estate License is preferred
Work Schedule
- This position requires flexibility to work beyond standard business hours, including evenings and weekends, as needed to manage client needs and the real estate transaction process, in line with Homewise’s strategic objectives.”
- Ability to travel as needed.
Physical Requirements.
- This is largely a sedentary role.
- Must be able to occasionally lift objects up to 20 pounds.
