Position Overview
Utah Partners for Health is seeking an experienced Clinic Operations Coordinator to help lead and shape the operations of our growing, mission-driven outpatient Behavioral Health department. The Behavioral Health Operations & Patient Experience Coordinator serves as the backbone of the Behavioral Health Clinic, supporting daily execution ensuring a consistent and welcoming patient experience, and maintaining visibility into clinic operations. As the operational backbone of the department, the Clinic Operations Coordinator ensures clinic operations run smoothly, patients feel welcomed and supported, and staff are set up for success. The ideal candidate will be proactive, organized, and compassionate—able to lead administrative functions while constantly identifying ways to improve both patient and team experiences and escalating issues to appropriate leadership for resolution.
Key Responsibilities
Clinic Operations & Administrative Oversight
- Support and monitor daily clinic operations, including opening and closing procedures
- Maintain cleanliness, organization, and overall clinic environment
- Identify operational issues and escalate to leadership as appropriate
- Order, track, and restock office and clinic supplies
- Coordinate provider schedules and manage patient appointments
- Implement and refine clinic workflows and systems to enhance efficiency, communication, and care quality
- Track and help improve key performance indicators and support internal audits and quality improvement efforts
- Hire, onboard, supervise, and develop front desk and administrative staff that fosters a culture of communication, empathy, and professionalism
Patient Experience & Care Coordination
- Serve as the primary point of contact for patient phone calls, appointment changes, and general inquiries, ensuring timely, respectful communication, setting the tone for their experience
- Ensure lobby and patient areas are clean, welcoming, and well-stocked
- Manage patient referrals from medical providers and community partners; coordinate with clinical leadership to assign patients thoughtfully and efficiently
- Coordinate patient check-in processes, required forms, and compliance workflows
- Schedule appointments and manage changes, cancellations, and follow-ups
- Conduct patient outreach regarding appointments and care coordination needs
- Ensure all front-end processes (patient check-in/check-out, appointment reminders) are consistently delivered and patient-centered
- Address patient concerns and escalate as appropriate
Community Engagement
- Assist in identifying and coordinating outreach and education efforts to increase the clinic’s visibility in the community.
- Support relationship-building with community organizations to strengthen referral sources.
Clinic Administration & Coordination
- Maintain and update departmental tracking systems and operational data
- Identify workflow gaps or “loose ends” and bring forward for resolution
- Support therapists and interns with scheduling, logistics, and workflow coordination
- Serve as a communication bridge between leadership, providers, interns, and patients
- Coordinate daily front desk and clinic support activities in partnership with staff
Department Culture and Team Support
- Help cultivate a psychologically safe, inclusive, and collaborative work culture grounded in empathic patient care, team recognition, and shared purpose.
- Partner with the Director of Behavioral Health to identify staff and department development opportunities.
- Support onboarding for interns and new staff
- Assist with team-building activities and maintaining team connection
- Serve as point of contact between clinic and company operations team
- Set and inspire the department and organizational culture in coordination with company operational staff
Required
- 2 years experience in healthcare, clinic operations, or front desk coordination
- English-Spanish Bilingual
- Strong organizational and problem-solving skills
- Excellent communication and interpersonal abilities
- Strong organizational skills
- Ability to manage multiple priorities in a fast-paced environment
- Proficient with Microsoft Office, particularly Excel, Word, Outlook and Teams; comfortable learning new technology and systems
Preferred
- Bachelor’s Degree
- Experience in behavioral health or integrated care settings
- Familiarity with EHR systems and scheduling workflows
- Experience supporting multiple stakeholders
