Pathology Administrative Support Specialist

Location: Washington, DC (in-person, Adams Morgan)

Compensation: $25–$30/hour (non-exempt, OT eligible, commensurate with experience) 


About the Role 


EPIARX Diagnostics is a private pathology practice in Washington, DC, specializing in autopsy pathology and laboratory medicine services. 


This role sits at the intersection of operations, logistics, and client communication. You will be a key point of contact for families, institutions, and partners during time-sensitive and often emotionally difficult situations—while also ensuring that internal workflows move efficiently and accurately. 


This is a high-responsibility, fast-paced position that requires strong organization, sound judgment, and the ability to balance empathy with execution. 


Key Responsibilities 

  • Client Communication: Serve as a primary point of contact for incoming calls and inquiries. Communicate clearly and compassionately with families, institutions, and partners.  
  • Case Coordination & Logistics: Coordinate time-sensitive workflows including transport scheduling, autopsy coordination, and communication across multiple parties (drivers, funeral homes, pathologists).  
  • Documentation & Records: Prepare, review, and maintain accurate client records, intake documentation, and case files.  
  • Data Entry & Systems Management: Enter and manage data across internal systems with high attention to detail and accuracy.  
  • Scheduling: Manage calendars, appointments, and timelines across multiple stakeholders.  
  • Administrative Support: Handle day-to-day administrative tasks including filing, labeling, mailing, and general office organization.  
  • Quality Control: Review documents and workflows to ensure completeness, accuracy, and compliance.  
  • Office Operations: Maintain supplies, organization, and overall readiness of the office environment.  
  • Team Support: Assist across functions as needed in a small, growing team environment. 
Requirements

  • Ability to prioritize and operate under pressure with multiple competing demands

  • Ability to communicate with empathy and professionalism in sensitive situations  
  • Willingness to handle a mix of administrative, logistical, and client-facing work

  • Ability to work closely with a small team and adapt to different communication styles  

Qualifications 

  • Bachelor’s degree preferred (Social Work, Psychology, or related field a plus)  
  • 1-3+ year experience in customer service, administrative support, or operations  
  • Experience in healthcare, legal, or other sensitive client-facing environments is a plus  
  • Proficiency in Microsoft Office (Word, Excel, Outlook)  
  • Strong written and verbal communication skills  
  • High level of discretion and confidentiality
