Procurement Specialist
Description

We’re seeking a Procurement Specialist who is a self-starter and thrives in a fast-paced, multi-tasking environment. The ideal candidate works independently with minimal oversight, communicates clearly, and collaborates effectively across teams to ensure timely, cost-effective purchasing and inventory accuracy.

Key Responsibilities

  • Source, evaluate, and negotiate with suppliers to secure quality materials/services at optimal cost and lead times.
  • Create, process, and track purchase orders.
  • Maintain accurate vendor, item, and pricing data in QuickBooks and Excel; ensure data integrity and audit readiness.
  • Partner with operations, finance, service, and sales to forecast demand, prioritize orders.
  • Monitor supplier performance (OTD, quality, responsiveness); escalate risks and drive corrective actions.
  • Manage competing priorities and deadlines; provide timely status updates and documentation.
  • Follow established SOPs; accept direction and incorporate constructive feedback to improve outcomes.
  • Support continuous improvement efforts across procurement processes, tools, and reporting.
  • Have a working knowledge of TruAsset for parts, and work orders with purchasing activity.

 Required Qualifications

  • Proven ability to work independently without micromanagement; strong ownership and follow-through.
  • Excellent time management, prioritization, and organizational skills in a fast-paced, multi-task setting.
  • Strong interpersonal and communication skills (written and verbal) with a collaborative, team-first mindset.
  • Proficiency in QuickBooks and Microsoft Excel (lookups, pivots, data cleansing, basic analysis).
  • Demonstrated ability to take direction and integrate constructive criticism into daily work.
  • Detail-oriented  with consistent accuracy in documentation, data entry, and order management.
  • Ability, with or without reasonable accommodation, to lift and move up to 50 lbs. and perform physical tasks required for handling incoming parts and materials.

 Preferred Qualifications

  • Customer service experience necessary - managing expectations between customers, vendors, and our team
  • Previous procurement experience in biomedical/healthcare technology or a closely related industry.
  • Experience with TruAsset (assets, parts, POs, receiving, and integration with service workflows).
  • Vendor management and basic contract or pricing agreement experience.

 Success Indicators (First 90 Days)

  • On-time processing of POs with >98% data accuracy in QuickBooks/Excel.
  • Measurable reduction in order cycle time for priority items through effective prioritization.
  • Clear, proactive communication cadence with our in-house techs and managers as well as suppliers.
  • Positive feedback on teamwork, responsiveness, and receptiveness to feedback.
