Position Overview

Chartis Federal is seeking a Program Action Officer to provide front-office coordination, task management, and program execution support to the Customer's Strategic Planning Office (SPO). The Program Action Officer serves as a key coordination resource, supporting leadership through action item tracking, executive communications, program reporting, documentation management, and stakeholder coordination activities.

This position works closely with Government leadership and program personnel to ensure taskings, information requests, reports, and communications products are tracked, coordinated, and completed in a timely manner. The successful candidate will be highly organized, detail-oriented, and capable of managing multiple priorities in a dynamic environment.


Duties and Responsibilities

  • Coordinate and track taskings, action items, suspense dates, and information requests across the organization.
  • Monitor the status of assigned actions and provide updates to leadership on progress and completion.
  • Support preparation of executive correspondence, reports, briefing materials, and communications products.
  • Coordinate collection and consolidation of information from multiple stakeholders to support leadership requirements.
  • Assist with the preparation and maintenance of program documentation, reports, and records.
  • Support executive-level meetings, reviews, and engagements through preparation of agendas, read-ahead materials, and supporting documentation.
  • Track program activities, milestones, and deliverables to support organizational objectives.
  • Coordinate responses to data calls and documentation requests.
  • Maintain organized repositories and records supporting program and leadership activities.
  • Facilitate communication and coordination among internal and external stakeholders.
  • Support leadership with execution tracking, follow-up actions, and administrative coordination activities.
  • Ensure assigned products and deliverables are completed accurately and within established deadlines. 
Requirements
  •  Active TS/SCI security clearance.
  • Bachelor's degree in Business Administration, Public Administration, Management, Communications, Political Science, or a related field.
  • Minimum of two (2) years of relevant experience supporting federal government programs, executive offices, military staffs, program management offices, or operational support activities.
  • Experience preparing reports, briefings, presentations, correspondence, or communications products.
  • Experience tracking action items, taskings, schedules, or program activities.
  • Strong organizational, analytical, and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office applications, including Outlook, Word, Excel, PowerPoint, Teams, and SharePoint.
  • Ability to manage multiple priorities and work effectively in a fast-paced environment.

Preferred Qualifications

  • Experience supporting Department of Defense organizations, headquarters staffs, or executive offices.
  • Experience supporting senior government officials, military leaders, or executive leadership teams.
  • Experience coordinating taskers, suspense management, or executive correspondence processes.
  • Experience preparing executive-level briefing materials and leadership communications.
  • Familiarity with program management, strategic planning, or organizational operations support activities.
