Job Description & Essential Responsibilities:
Sturges Property Group is seeking a professional, organized, and customer-focused Front Desk Receptionist to serve as the first point of contact for clients, visitors, vendors, tenants, and team members. This position is responsible for managing daily front desk operations, answering and directing incoming calls and inquiries, greeting visitors, and maintaining a welcoming and professional office environment.
In addition to front desk responsibilities, this role provides administrative support to the Brokerage and Marketing teams, including data entry, updating property listings and databases, preparing marketing materials, and assisting with other projects as needed. The ideal candidate will demonstrate excellent communication skills, attention to detail, a professional demeanor, and the ability to work independently while supporting the needs of the office.
Front Desk and Reception
- Answer and direct incoming telephone calls promptly and professionally, routing inquiries to the appropriate department or team member.
- Greet clients, vendors, tenants, and visitors, providing a welcoming first impression of the company.
- Direct visitors to the appropriate team member and notify employees of guest arrivals.
- Maintain a welcoming, organized, and professional reception area.
- Schedule and manage conference room reservations and assist with visitor meeting arrangements.
- Receive and distribute incoming and outgoing mail, deliveries, and courier packages.
- Order and maintain inventory of office and café supplies.
- Help maintain the organization and cleanliness of conference rooms, café areas, and common spaces.
- Perform additional administrative duties as needed to support daily office operations.
Administrative and Marketing Support
- Provide administrative assistance to the Brokerage and Marketing teams as needed.
- Enter, update, and maintain accurate information in company databases, CRM systems, and property listing platforms.
- Assist with updating property listings on commercial real estate websites
- Obtain and compile property information from public resources, including GIS systems, property record cards, and tax bills.
- Assist with preparing marketing materials, property flyers, reports, presentations, and other documents.
- Assist with basic photo editing and image preparation for property marketing materials, as needed.
- Assist with other marketing and administrative projects as assigned.
Qualifications and Skills:
- Previous experience in a receptionist, front desk, or administrative support role is required.
- Excellent verbal and written communication skills.
- Professional, courteous, and customer-service-oriented demeanor.
- Proficiency in Microsoft Office applications, including Word, Excel, and Outlook, is required. Ability to learn company software and databases.
- Experience with Adobe Creative Suite and/or photo and video editing software is preferred but not required.
- Ability to manage routine responsibilities independently and prioritize tasks effectively.
- Strong organizational skills and attention to detail, with a dependable, adaptable, and collaborative approach to work.
Work Environment:
- Role is located in Downtown Fort Wayne, Monday to Friday 8:00am to 5:00pm
