Our corporate office is located in Orange County, CA. Employees in this position are permitted to reside anywhere in the United States, provided they have reliable access to a major airport within close proximity to support business travel needs. Work is performed remotely with periodic travel (<10%) within the US for training, meetings, and team events. This role may also occasionally require extended hours or schedule flexibility based on client and project demands.

Position Summary TriVista’s Business Development Coordinator works with Business Development, Practice Leadership, Marketing, and the internal operations teams to support sales pursuits, strengthen client relationships, and drive efficient business development activities. The Business Development Specialist plays a key coordination role in pursuing new business opportunities and supporting existing accounts.


This individual will support proposal and RFP processes, maintain sales collateral and CRM data, coordinate outreach and meeting activities, and help improve internal business development processes and reporting. Success in this role requires the ability to manage multiple priorities in a fast-paced professional services environment while maintaining a high level of professionalism, accuracy, confidentiality, and responsiveness. 


Responsibilities


Sales Operations & Administration 

  • Support Business Development and Practice Leadership in preparing for client meetings by assembling and creating sales materials, including capability decks, proposal drafts, and statements of work (SOWs), and redacted reports  
  • Coordinate internal team’s responses to RFPs and proposals 
  • Ensure sales materials comply with firm branding, confidentiality, and document retention standards 
  • Support NDA processing, signature workflows, and other administrative activities to help move opportunities through the pipeline 
  • Maintain accurate and up-to-date data within the CRM system, including contacts, accounts, opportunities, and projects, and project close out 
  • Manage repositories and version controls for proposal content, boilerplate language, pricing tools, and reusable sales materials and follow document retention processes 
  • Collaborate with Salesforce Administrator to create and refine CRM dashboards, reports, and analysis to monitor KPIs such as win rates, pipeline velocity, cross-sell, outreach opportunities.  
  • Facilitate client gifts and recognition activities 
  • Create, document, and improve business development and sales support processes 

Business Development Support 

  • Research clients, prospects, industries, and decision-makers, and prepare background materials to support business development meetings and outreach efforts 
  • Partner with the Business Development Associate to support outreach (emails & calls), follow-up communications, and scheduling of discovery calls and sales meetings, and supporting CRM maintenance  
  • Coordinate meetings and video calls for Business Development and Practice Leadership with clients and prospects, while tracking outreach activity and key accounts in the CRM system 
  • Maintain and organize current versions of sales collateral and business development materials (library with version control) 
  • Support Business Development Leadership in the preparation and execution of key account planning initiatives 
  • Track key market activities from target clients and competitors including announcements of deals closures or corporate mergers/divestitures  
  • Assist with onboarding and training new employees on CRM and business development tools and processes 
  • Perform other duties and responsibilities as required, assigned, or requested? 
Requirements

Skills and Qualifications  

  • 5+ years of experience in sales, sales operations, or marketing, ideally in a B2B professional services environment 
  • Understanding and proficiency using the following software: MS Office Suite, CRM (Salesforce preferred) 
  • Intermediate experience and proficiency with Excel (macros, pivot tables, etc.)  
  • Intermediate experience and proficiency in developing PowerPoint presentations 
  • At least 1 year of experience and proficiency using marketing automation software (HubSpot preferred)   
  • High comfort level in cold calling and experience in crafting and tracking highly bespoke cold and warm e-mail outreach to executive level prospects  
  • Experience coordinating responses to RFPs/RFIs/proposals 
  • Experience using AI for efficiency and productivity 
  • Exceptional project management skills, including account plan creation and maintenance, and attentiveness to milestones and targets 
  • Close attention to detail, including careful record keeping regarding all sales activity and CRM data (e.g. contacts’ role/company/location) 
  • Ability to think strategically about business challenges, build and convey compelling customer value propositions/messaging preferred 
  • Ability to work on multiple tasks and activities at once and flexibility to re-prioritize 
  • Strong business acumen?and interest in understanding the details of technical consulting engagements 
  • Excellent verbal and written communication skills? 
  • Highly organized, passionate attention to detail and accuracy, process oriented, and able to balance multiple priorities and take direction from multiple people? 
  • Proven ability to meet demanding deadlines and work flex or extended hours when needed? 
  • Self-motivated with high initiative and drive to complete assignments on time with exceptional quality?? 
  • Authorized to work in the US on a full-time basis 
  • Flexibility to travel as needed (up to 10%)? 

Education  

  • 4-year degree in Business or related field and/or combination of required education and experience?  
  • Lean and/or Six Sigma Green Belt certification or ability to obtain upon hire

The salary range for this position reflects our good-faith estimate of the minimum and maximum base pay for the role at the time of posting. The actual pay offered may vary based on factors such as the candidate’s skills, qualifications, experience, location, and market conditions. For example, a candidate with the minimum required experience and qualifications may receive an offer near the lower end of the range, while a candidate with extensive experience and specialized expertise may receive an offer near the top of the range. In addition to base salary, employees are eligible for performance bonuses and a comprehensive benefits package.

Salary Description
$80,000 - $90,000 + Bonus
