Employment Type: Full-Time (37.5 hours), hourly, M-F, Benefited, Modified summer schedule  
FLSA Status: Non-Exempt
Pay Rate: $18.00/hr. - $21.50/hr.

Essential Duties and Responsibilities

  • Provides receptionist services for the school to include answering telephone calls, retrieving messages, greeting visitors and handling parent and student requests including payments.  
  • Provides clerical services to Principal, Teachers and Staff. Duties to include making appointments, completing work orders for school events, recording absentees & tardys, finding substitutes when needed, and handling any special mailings or communications.  
  • Update the following logs: Pizza with the Principal, Substitute List, Photo/Media release, Text book checkout, Volunteer Drivers Information, and Visitor/Volunteer check in/check out.  
  • Maintain and keep Student Records up to date.  
  • Maintenance and support of student data base (RenWeb)  
  • Develop, maintain and update School Master Calendar as well as Principal Calendar.
  • Produce and email weekly newsletter to parents (Heart2Heart).
  • Admissions Process-including receiving and pushing forward new applications, communicating with inquiries, sending transcripts, answering admission questions and processing changes in RenWeb.  
  • Distributes mail and maintains postage and maintenance on the postage machine.  
  • Assists with the Health Office.  
  • Collect and issue receipts for any money collected from parents in the front office.
  • Give tours to incoming families.  

Note:  These are essential duties and responsibilities for the position of School Secretary, but the position is not limited to only these.  Other duties can be assigned as needed.

Religious Qualifications

  • Active, practicing Roman Catholic (Preferred).
  • Respects and understands a Catholic school philosophy.

Professional Qualifications

  • Individual must have well developed “people skills” in interacting with all who come to the school office.  
  • Individual must have the ability to maintain confidentiality in all matters.  
  • Strong computer skills (Excel, Word, RenWeb, etc.).
  • Strong communication skills. 
  • Able to work collaboratively.  
  • Strong administrative skills (ability to multitask, to prioritize, attention to detail).  

Physical Requirements

While performing the duties of this job the employee is regularly required to remain in an office at a computer workstation and access information from a computer and use a telephone. The employee is required to be mobile to, from, and within the office, as well as maneuver throughout the school facility to attend meetings, briefings, and other work-related events. The employee may be required to conduct trips to, from, and within various city and county-wide locations to attend meetings or events. The employee must occasionally lift and/or move up to 15 pounds. This position may require evening and weekend work.
