Job Description
We are looking for a new team member to join us in our Walnut Creek office. If you are energetic, compassionate, possess a strong work ethic, and are able to multitask, we would like to hear from you. This position will include scheduling patient appointments, coordinating provider calendars, and assisting with front and back office duties. Experience with Electronic Health Records (EHR) and medical scheduling is preferred.
Job Responsibilities
- Schedule patient appointments
- Answer incoming phone calls
- Coordinate provider schedules and appointment availability
- Respond to patient calls regarding appointments, referrals, lab results, medication refill requests, and general inquiries
- Obtain and process insurance authorizations and referrals as needed
- Maintain accurate patient records using the Electronic Health Record (EHR) system
- Verify patient demographics and insurance information
- Assist with patient check-in/check-out when needed
- Perform general computer tasks including data entry and appointment management
- Take patient vitals (if applicable)
- Maintain inventory of exam room supplies and verify expiration dates
- Perform other administrative and front office duties as assigned
Mandatory Qualifications
- Medical scheduling experience preferred
- Excellent customer service and interpersonal skills
- Knowledge of medical terminology
- Strong computer and data entry skills
- Excellent verbal and written communication skills
- Comfortable interacting with patients of all ages and abilities
- Ability to multitask in a fast-paced medical office
- Strong organizational and time management skills
Preferred Qualifications
- 1+ years of experience as a Medical Scheduler, Patient Scheduler, or Front Office Coordinator
- 1+ years of experience obtaining insurance authorizations and referrals
- Bilingual (Spanish) preferred
- Experience with Electronic Health Records (EPIC preferred)
- Experience working in a multi-provider medical practice
