Position Overview

Bolton Holdings is seeking a highly organized, proactive, and professional Executive Administrative Assistant to support senior leadership in a fast-paced, growth-oriented environment. This individual will play a critical role in managing executive priorities, coordinating communication, organizing schedules, and ensuring leaders are able to focus on high-value strategic responsibilities.
 

The ideal candidate demonstrates exceptional discretion, strong attention to detail, and the ability to anticipate needs before they arise. This position requires strong judgment, a sense of urgency, and the ability to manage multiple priorities while maintaining professionalism in interactions with executives, clients, and partners.
 

This role is ideal for someone who thrives in structured environments, enjoys solving problems, and takes pride in helping leaders operate efficiently and effectively.

Key Responsibilities

Executive Support
• Manage complex executive calendars, scheduling internal and external meetings
• Coordinate travel arrangements including flights, hotels, transportation, and detailed itineraries
• Prepare leaders for meetings by organizing agendas, documents, and relevant materials
• Track AEaction items and ensure follow-up on commitments and priorities
• Assist in managing shifting priorities and resolving scheduling conflicts
 

Communication & Coordination
• Draft and edit professional correspondence, emails, and internal communications
• Serve as a point of coordination between executives, team members, and external partners
• Screen incoming communication and prioritize based on urgency and importance
• Ensure timely and accurate communication across stakeholders
 

Organization & Process Support
• Maintain organized digital filing systems and documentation
• Assist in preparing reports, presentations, and meeting materials
• Coordinate logistics for leadership meetings, planning sessions, and company initiatives
• Support project tracking and ensure deadlines are met
• Help implement and maintain structured administrative processes
 

Confidential & Strategic Support
• Handle sensitive and confidential information with discretion
• Protect executive time by prioritizing high-value activities
• Assist with preparation for strategic discussions and decision-making
• Provide administrative support on special projects and initiatives

Requirements

 Qualifications

• High school diploma or GED required; associate's or bachelor's degree a plus 

• 3+ years supporting executives, business owners, or senior leadership  

• High school diploma or GED required; associate's or bachelor's degree a plus 

• Experience managing complex schedules and priorities  

• Experience coordinating travel and meetings  

• Experience handling confidential information  

• Experience working in professional services, construction, logistics, or similar industries is a plus
