Position Summary

Responsible for managing residential mortgage loan files from application through closing by ensuring timely, accurate, and compliant processing in accordance with company policy, investor guidelines, and regulatory requirements.

This role serves as a key liaison between Loan Officers, borrowers, underwriters, and third parties, driving pipeline movement, managing loan conditions, and ensuring an exceptional borrower experience.



Core Responsibilities

Primary Duties & Responsibilities (90–95%)

  • Manage a pipeline of mortgage loan files to ensure timely progression from submission through closing in alignment with internal SLAs
  • Review loan files for completeness, accuracy, and compliance with company policy, investor guidelines, and regulatory requirements (TRID, RESPA, ECOA, ATR/QM)
  • Submit complete and accurate loan files to underwriting and manage all subsequent conditions, including borrower, title, appraisal, and third-party documentation
  • Proactively communicate with borrowers, Loan Officers, real estate agents, and third parties to collect required documentation and provide status updates
  • Monitor and manage loan milestones, including disclosures, conditions, and closing timelines, ensuring adherence to required timeframes
  • Order and track third-party services, including appraisals, title work, verifications (VOE/VOD), and flood determinations
  • Review and prepare loan disclosures (including changes of circumstance) in coordination with internal processes and compliance requirements
  • Identify and resolve file issues, documentation gaps, or compliance concerns early in the process to prevent delays
  • Maintain accurate and complete loan documentation within the loan origination system (Encompass or equivalent)
  • Partner with internal teams (LOA, Underwriting, Closing, Post-Closing) to ensure smooth file progression and minimize rework


Secondary Responsibilities

Secondary Duties & Responsibilities (5–10%)

  • Demonstrate a strong commitment to team success by supporting departmental needs and collaborating across roles
  • Maintain working knowledge of bank policies, procedures, and applicable federal and state regulations
  • Participate in required BSA/AML and compliance training and apply knowledge to daily responsibilities
  • Provide backup support for team members as needed to ensure continuity of operations
  • Attend team meetings and contribute to process improvement initiatives
  • Responsible for security as it applies to this position.
  • Perform additional duties as assigned to support team and organizational goals.

Requirements

Qualifications

  • Working knowledge of mortgage regulations including TRID, RESPA, and ECOA 
  • Experience with loan origination systems (Encompass preferred) 
  • Ability to manage a pipeline with competing deadlines and priorities 
  • Strong problem-solving skills with a solution-oriented mindset 
  • High level of accuracy and attention to detail in documentation and compliance 
  • Excellent verbal and written communication skills
  • Working knowledge and proficiency of computer systems and software applications including but not limited to MS Office
  • Good organizational skills and ability to pay attention to detail
  • Ability to manage workload to coordinate multiple tasks
  • Ability to operate standard office machines; including telephone, PC, fax machines, copy machines, etc.
  • Excellent interpersonal skills necessary to effectively deal with borrowers and informational contacts.


Salary Description
$20.77 to $31.15 an hour
