The Opportunity
The Tenant Services & Construction Coordinator serves as an essential administrative, financial, and operational anchor at our corporate headquarters in Fort Worth, Texas. This role is specifically designed for a highly organized professional with a background working with a general contractor or real estate developer who can seamlessly bridge the gap between development accounting and active portfolio construction. From processing contractor pay applications and managing corporate bank draw packages to coordinating tenant move-ins, plan review cycles, and lease deliverables across our properties, this coordinator ensures projects move from blueprint to grand opening with absolute precision and total compliance.

What You’ll Do
1. Financial Administration & Contract Control
- Invoice & Budget Processing: Review, code, and process vendor invoices for Development Construction, CapEx, and Landlord related work across the portfolio. Ensure absolute accuracy and strict compliance with contractual agreements and company policies.
- Draw Packages & Documentation: Assist in proofing and processing contractor pay applications, lien release logs, and vendor insurance certifications. Prepare comprehensive bank draw packages and compile construction/consultant contracts and technical exhibits.
- Financial Reconciliation: Liaise with development accounting to reconcile project budgets and expenditures related to contracts and vendors, supporting corporate financial reporting efforts with necessary project status updates.
- Fee Billing: Maintain Ascendix tracking logs and prepare required invoices and reports for billing Tenant Coordination and Construction Management Fees.
2. Tenant Coordination & Project Support
- Onboarding & Move-Ins: Organize preconstruction meetings, manage the corporate distribution of building plan packages to incoming retailers, and assist in the physical review and approval of tenant space plans and signage drawings.
- Lease Deliverables: Review lease documents to track critical construction deliverables, update tenant tracking reports for occupancy and lease terms, and process tenant allowances and construction deposits.
- Official Notices: Draft, issue, and track official delivery and possession letters, tenant open/close alerts, and various structural compliance notifications.
3. Cross-Functional Collaboration
- Team Alignment: Work closely with on-site property management, project administrators, leasing, accounting, and marketing teams to maintain data accuracy, resolve portfolio development obstacles, and ensure seamless communication regarding invoice discrepancies or payment statuses.
What You Bring to the Table
Experience & Education
- Proven Tenure: 3–5 years of dedicated experience in a similar construction administration, tenant coordination, or project coordinator role.
- Industry Background: A solid history working directly with a general contractor or commercial real estate developer. Direct experience with high-traffic mixed-use or premier retail development is preferred.
- Academic Background: Bachelor’s degree preferred, or equivalent specialized experience in real estate development and construction.
Technical Mastery & Skills
- Administrative Foundations: Strong familiarity with construction terminology, contract compliance structures, insurance tracking, lien waiver tracking, and office management from preconstruction through project completion.
- Software Proficiency (Required): Advanced proficiency in Microsoft Excel and the standard MS Office Suite (Word, PowerPoint, Outlook), alongside Bluebeam.
- Software Proficiency (Preferred): Experience with Procore, Sage, Salesforce (Ascendix), Adobe Creative Suite (InDesign, Illustrator, Photoshop), or Microsoft Project is a major plus.
