Job Overview
This role directs the day-to-day operations of the reporting department, ensuring staff productivity, accurate physician template management, process standardization, policy compliance, and a safe, organized work environment that supports patient satisfaction and practice efficiency. The position is responsible for hiring, training, evaluating, scheduling, and compensating staff; collaborating closely with physicians and leadership; resolving patient concerns; leading staff communication; and contributing to policy development and continuous operational improvement.
Duties and Responsibilities
- Direct the overall daily operations of the reporting department to ensure all work tasks of the team are completed
- Interview, hire, evaluate, orient, and train all assigned employees
- Conduct annual employee evaluations per company directed timeline
- Conduct appropriate employee disciplinary action when warranted
- Approve assigned staff’s PTO / Time off Requests, and coordinate coverage when staff are absent, including self-coverage, to ensure adequate coverage of job tasks
- Ensure that the correct payroll information is entered into the payroll system for all assigned employees. Approve bi-weekly payroll in Paylocity
- Ensure practice policies and procedures are followed by staff to ensure patient safety and satisfaction, practice efficiency, patient privacy, and professional care
- Ensure proper care of assigned work areas, medical and office equipment, phones, computers, and other devices necessary for daily operations. Report any item needing maintenance and/or repair to the appropriate Leader
- Interact with the physicians to ensure close communication is maintained and physician needs are met
- Observe the physical environment of staff work areas and make certain that all areas are neat, clean, and organized. Enter facility work orders into designated system
- Assist in the development, implementation, and monitoring of new policies and procedures
- Investigate and appropriately manage patient complaints and customer service issues and report the incidents to the appropriate leader
- Participate in assigned committee meetings by supplying ideas, suggestions, feedback, and information as required by the committee
- Conduct staff meetings to communicate all updates, news, and information to team members in a timely and effective manner
- Oversee the management of physician templates at assigned site
- Assist in the improvement of office processes through standardization
- Previous experience in a medical setting with a minimum of 5 years’ experience
- Excellent communication (oral and written) skills essential
- Must be able to communicate effectively with individuals at all levels; demonstrate the ability to maintain stable performance under stressful conditions
- Must be able to multi-task
- Proficient in typing (50 wpm)
- Proficient in Microsoft Office Software to include e-mail software
- Proficient in Athena, Connect Care and Epic
