We are currently seeking a bilingual (English/Spanish) Human Resources Clerk to join our team and support our growing workforce.
Position Summary
The Human Resources Clerk provides clerical and administrative support to Human Resources. This role is responsible for maintaining accurate employee records, supporting payroll processing, and ensuring confidentiality and compliance with company policies and applicable regulations.
Key Responsibilities
Human Resources
• Maintain, audit, and update accurate and complete employee personnel files in compliance with California labor laws and company policies.
• Organize, manage, and maintain HR records and filing systems in accordance with California record retention requirements, including personnel, I-9, medical, and confidential files.
• Review HR documentation for completeness and accuracy, identifying and correcting discrepancies to ensure regulatory compliance.
• Process and document employee lifecycle changes, including new hires, rehires, terminations, job changes, pay adjustments, and leaves of absence in accordance with California law.
• Accurately enter, update, and maintain employee information within the HRIS, ensuring data integrity and compliance.
• Support onboarding and offboarding processes, including preparation, collection, and filing of required employment documentation (new hire paperwork, notices, separation documents).
• Assist with HR audits, compliance reviews, and regulatory reporting requests.
• Ensure the confidentiality, integrity, and security of all employee records, including sensitive and legally protected information.
• Provide administrative and clerical support to the Human Resources department, including tracking compliance-related documentation and deadlines.
Payroll
• Review payroll information for accuracy and compliance with California wage and hour laws prior to processing.
• Coordinate closely with Human Resources and management to ensure payroll reflects accurate employee status, classifications, pay rates, and authorized changes.
• Maintain payroll records, reports, and supporting documentation in compliance with California and federal record retention requirements.
• Respond to employee payroll-related inquiries, researching and resolving discrepancies in a timely, professional, and compliant manner.
General
• Handle all HR and payroll information with strict confidentiality and professionalism in accordance with California privacy requirements.
• Follow established internal controls, policies, and procedures to ensure compliance with federal, state, and local regulations.
• Perform other related duties and compliance-driven projects as assigned.
Daily Tasks
• Review timecards to ensure accurate hours, meal premiums, and overtime calculations.
• Confirm PTO/Sick hours and other time-off entries are entered correctly and approved by supervisors.
• Check and process employee timecard corrections as needed.
• Monitor HR and payroll inboxes for urgent requests or updates.
Weekly Tasks
• Gather and compile weekly payroll reports for accounting.
• Verify any Change of Status (COS) requests and ensure proper documentation and approvals.
• Gather and prepare reports for Weekly Labor.
• Stuff checks, separate, and distribute to locations/managers as needed.
• Check the post office and on-site mail daily.
• Respond to employee payroll and HR questions in a timely manner.
Monthly Tasks
• Generate and review end-of-month payroll reports.
• Spool Paylocity invoices monthly and forward to accounting as required.
• Order HR and payroll supplies as needed.
• Update HR postings and notices regularly to ensure compliance.
• Annual / Periodic Tasks
• Complete I-9 audit annually and ensure all documentation is current and compliant.
• Support year-end payroll processes and documentation as needed.
Requirements
- High school diploma or equivalent required
- Bilingual English / Spanish Required.
- Must maintain a California Driver’s License and eligibility for company vehicle insurance.
- 1 -3 years of prior related office experience preferred.
- Excellent organizational skills, verbal, and written communication skills.
- Thorough understanding of office practices and procedures; knowledge of or ability to quickly learn any applicable departmental or organizational rules and regulations.
- Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
- Excellent organizational skills and attention to detail.
- Proficiency in Microsoft Office (Word, Excel, Outlook); experience with HRIS and payroll systems preferred.
Physical Requirements
This position requires regular sitting, speaking, and hearing. The employee is frequently required to use hands and fingers to operate office equipment and occasionally stand, walk, and reach with hands and arms. The role may also involve occasional stooping, kneeling, crouching, or crawling. The employee must occasionally lift and/or move up to 25 pounds. Close vision and color differentiation are required.
