Position Summary


Beacon Community Management is seeking a motivated and organized Portfolio Community Associate Manager (Declarant) to oversee a portfolio of approximately 12 declarant-controlled communities. This role serves as the primary liaison between developers, homeowners, builders, vendors, and Board members, supporting daily community operations while ensuring compliance with governing documents and the Declarant's vision.


Key Responsibilities

  • Manage the daily operations of a portfolio of declarant-controlled communities.
  • Conduct community inspections and coordinate maintenance and vendor services.
  • Respond to homeowner inquiries and foster positive resident relationships.
  • Process Architectural Review Committee (ARC) applications and maintain approval records.
  • Monitor covenant compliance and coordinate enforcement efforts.
  • Assist with Board meetings, agendas, minutes, and community communications.
  • Maintain accurate community records and management software.
  • Support budgeting, financial administration, and invoice processing.
  • Coordinate with developers, builders, and vendors on community projects and warranty items.
  • Assist with transition planning from Declarant to homeowner control.


A successful Portfolio Community Associate Manager will:

  • Maintain strong relationships with homeowners, builders, and Declarant representatives. 
  • Ensure communities consistently meet Beacon Community Management's standards. 
  • Respond to homeowner requests promptly and professionally. 
  • Assist in keeping projects, inspections, and architectural reviews on schedule. 
  • Support seamless operations across all assigned communities while helping prepare communities for successful transition from Declarant control to homeowner governance.


Requirements

Qualifications

  • Bachelor's degree preferred or equivalent experience.
  • Two or more years of experience in community management, property management, real estate, or a related field preferred.
  • Strong organizational, communication, and customer service skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Proficiency in Microsoft Office; experience with HOA management software is a plus.
  • Valid driver's license and reliable transportation.

Technical Skills

  • Microsoft Office Suite (Word, Excel, Outlook) 
  • Community management software (Vantaca, CINC, TOPS, AppFolio, or similar preferred) 
  • Adobe Acrobat 
  • Virtual meeting platforms (Microsoft Teams or Zoom)
