About the Role


We are seeking a Senior Administrative Specialist III (RMT) to support our federal government client. The Senior Administrative Specialist III will provide administrative and resource management support to senior executives. All areas of responsibility require multi-tasking and interaction with internal and external executives and agency programs.


This role will report to work onsite at the client's location in Atlanta, Georgia. Work hours are 9:00 am to 5:00 pm. All telework arrangements shall be subject to Government approval and may be modified or revoked at any time based on operational requirements.


Responsibilities

  • Assist the Resource Management Team (RMT) with processing and coordinating
  • personnel in-processing and out-processing activities.
  • Participate in required administrative and team coordination meetings and document relevant action items, as needed.
  • Compile, organize, and prepare itineraries, briefing materials, reports, presentation
  • packages and talking points for senior leadership.
  • Maintain and update task trackers, schedules, and status reports for projects,
  • assignments, and deliverables to ensure timely completion and visibility.
  • Monitor shared mailboxes, distributing incoming correspondence to appropriate
  • personnel, and triaging inquiries and action items in a timely manner.
  • Provide general administrative support to facilitate efficient office operations and
  • communication workflows.
  • Coordinate executive calendars and schedules. 
  • Facilitate VIP visits and leadership engagements. 
  • Serve as liaison with CDC offices and external partners.
  • Prepare presentations, communications, and award materials.
Requirements


Required Skills and Experience

  • Prior experience working at a federal agency such as the CDC is required.
  • Minimum of 3-5 years of experience supporting senior executives. 
  • Executive calendar and schedule management.
  • Records and file management.
  • Prior experience coordinating federal travel orders, including inputting and processing in the CONCUR travel system.
  • Prior experience process time and attendance in the TASNet system.
  • Prior experience assisting with preparing standard federal administrative documentation, such as small purchase requests, training requests, NCAMS requests, visitor requests, VISA requests, travel requests, leave requests, etc.
  • Proficient in Microsoft Office Suites (Word, Excel, Outlook, PowerPoint and SharePoint).
  • Prepare executive communications, reports, briefings, and administrative documentation.
  • Resource management or coordination experience is a plus. 
  • Prior experience supporting senior federal leadership offices.
  • Excellent written and verbal communication and attention to detail.
  • Ability to handle confidential information.
  • Ability to obtain government clearance.
  • Must be legally authorized to work in the United States without the need for employer sponsorship, now or at any time in the future.


Education and Training

  • Bachelor’s degree plus 3-5 years of executive level assistance experience; 6–8 years of experience in lieu of Bachelor’s degree may be considered.


Physical Requirements

  • Prolonged periods of sitting at a desk and working on a computer.
  • May need to lift up to 25 pounds occasionally.
