JOB SUMMARY
The Dual Generation Administrative Coordinator is a key member of the United Way of San Antonio and Bexar County's Dual Generation team, responsible for ensuring families experience a welcoming, organized, and seamless journey from initial inquiry through program enrollment. Serving as the first point of contact for many participants, this position plays a critical role in creating a positive family experience while supporting the day-to-day operations that allow the initiative to effectively serve children and parents together.
Working in partnership with Family Centered Case Coaches, the Administrative Coordinator coordinates participant intake, verifies eligibility, collects enrollment documentation, schedules appointments, maintains accurate program records, and supports data management, reporting, and compliance activities. This position serves as the operational hub of the program, ensuring administrative processes are efficient, participant records are complete, and families are connected to services without unnecessary delay
PRIMARY DUTIES AND RESPONSIBILITES
- Serve as the first point of contact for prospective families seeking services through the Dual Generation Initiative.
- Collect, review, and organize required enrollment documentation to ensure complete participant files.
- Verify participant eligibility according to program guidelines and funding requirements.
- Assist families with completing forms, applications, and basic program navigation while referring coaching-related needs to the appropriate Family Centered Case Coach.
- Maintain enrollment packets and ensure all required consent forms, releases, and supporting documentation are completed.
- Communicate with families regarding missing documentation and assist them in completing enrollment requirements.
- Schedule intake appointments and coordinate calendars for Family Centered Case Coaches.
- Provide administrative support to the Dual Generation Initiative team including scheduling meetings, preparing materials, maintaining calendars, and coordinating logistics.
- Prepare correspondence, reports, and other program documents.
- Coordinate communication with community partners regarding referrals, enrollment documentation, and participant information as appropriate.
- Maintain confidentiality of participant information in accordance with agency policies and applicable regulations.
- Support continuous quality improvement by identifying administrative process improvements.
- Assist with monitoring program compliance and preparing documentation for internal and external reviews.
- Participate in staff meetings, training, and professional development opportunities.
- Demonstrate professionalism, cultural responsiveness, empathy, and excellent customer service.
- Perform other duties as assigned to support the mission of United Way of San Antonio and Bexar County and the success of the Dual Generation Initiative

EDUCATION AND EXPERIENCE
- High school diploma or GED and four (4) years of administrative, customer service, or human services experience; OR
- Associate degree and two (2) years of related experience; OR
- Bachelor's degree from an accredited college or university.
- Experience providing administrative support in a nonprofit, education, healthcare, or social service setting preferred.
- Experience coordinating participant intake, eligibility determination, enrollment, or case coaching support preferred.
- Experience working with diverse populations and families experiencing economic challenges preferred.
- Bilingual (English/Spanish) preferred.

WORK ENVIRONMENT
- Normal nonprofit office environment with little exposure to dust, noise and extreme temperatures.
- Extended work on personal computing equipment, telephone, multi-functioning printer and calculator.
- Reliable transportation required, with the ability to travel to and from meetings, training sessions or other business-related events locally, routinely and around the state and nationally, occasionally.
- Monday-Friday, 8:15 am to 4:45 pm work week with occasional evening and weekend hours.
