Position Summary:

 

The Project Coordinator in Research & Development (R&D) is a detail-oriented individual who will be responsible for supporting the planning, coordination, and execution of Sabin’s Vaccine development programs. They will partner and collaborate across the organization and with external stakeholders to provide comprehensive support which enables alignment, action, and delivery per plan.


The incumbent will support a range of activities including financial planning and reconciliation, coordinate information and reporting, as well as assisting with workstreams related to Program and Project Management of vaccine development that include but are not limited to Chemistry, Manufacturing and Controls (CMC), Non-Clinical, Clinical, and Regulatory Affairs. They will work within a multidisciplinary internal team and external environment encompassing US Government agencies, non-profit organizations, academia, and commercial partners.



Responsibilities: 

  • Support Program and Project Managers in coordinating day-to-day activities and tracking progress of vaccine development programs.
  • Partner with Sabin staff to plan and monitor activities, timelines, forecast and actuals, and deliverables to ensure successful completion within established timelines.
  • Coordinate across teams and programs to ensure seamless communication and alignment.
  • Coordinate the preparation, tracking, review, polishing, and filing of deliverables to ensure timely submission to stakeholders (inclusive but not limited to weekly dashboards, biweekly and monthly reporting).
  • Support meeting execution, including scheduling, preparing meeting agendas, taking minutes, tracking and monitoring action items, and circulating materials to attendees.
  • Assist in creating, maintaining, and updating project timelines using Office Timeline, Smartsheet and MS Project in coordination with Program and Project Manager(s) and Scheduler.
  • Maintain up to date project files and ensure document control within project management systems.
  • Assist in developing and improving Program and Project Management processes and tools to support execution and overall R&D operations.
  • Support improvement projects by providing planning and execution leadership.
Requirements
  • Bachelor’s degree in life sciences, biotech, or a related field.
  • 2+ year(s) of experience in project coordination or a similar role within life sciences, biotech, or pharmaceutical industry is preferred.
  • Proficiency in project management principles, as well as associated software (e.g., Smartsheet, MS Project) is desired.
  • Strong organizational skills with the ability to manage multiple priorities and stakeholders effectively.
  • Ability to work independently, anticipate needs, and take initiative.
  • Detail-oriented and highly organized, with strong analytical skills and a proactive approach to problem-solving. 
  • Excellent interpersonal, verbal and written communication skills with commitment to accuracy.
  • Proficiency with Microsoft Office applications (Excel, Outlook, PowerPoint, Word, OneNote, MS Teams)
  • Demonstrated ability to think critically and demonstrate troubleshooting, problem-solving, and service-oriented skills and approach.
  • Experience handling confidential and sensitive information; ability to exercise discretion.
  • Ability to process information quickly and listen carefully to feedback and comments and adapt plans/actions accordingly.
  • Ability to travel domestically and internationally with notice.

Sabin’s philosophy is to ensure fair, unbiased, equitable, competitive compensation and benefits. Using benchmarking and salary survey data, the annual salary for this position ranges from $62,000 - $68,000. The exact compensation may vary based on skills, experience, training, and certifications/degree. As a grant-funded organization, Sabin actively seeks funding for existing and new programs.
