 Job Summary: The Loan Administrator is responsible for supporting the operational servicing, maintenance, balancing, and reporting of the bank’s loan portfolio. This role ensures accurate loan servicing activities across multiple loan products, regulatory reporting requirements, investor reporting obligations, and internal reconciliation processes. The position requires strong attention to detail, accuracy, and the ability to manage recurring deadlines ranging from daily to annual cycles.


Essential Duties and Responsibilities


Loan Servicing & Administration

  • Handle automatic payment changes and updates (as needed) 
  • Process incoming mail related to loan servicing (daily) 
  • Provide payoff quotes and requests to lenders, tellers, and customers (daily) 
  • Support NSF, non-accrual payments, and ACH returns processing (daily) 
  • Manage HELOC check reordering (as needed) 
  • Process lien and mortgage releases (as needed) 
  • Process construction loan draws (as needed)
  • Handle ARM rate change notices, amortization schedules, and mailing (weekly) 
  • Maintain participation payments (incoming and outgoing) (daily) 
  • Handle floor plan management, including payoffs and manual curtailment billing (daily)

Escrow & Insurance Administration

  • Perform escrow analyses, including pulls, verifications, and releases (daily) 
  • Process escrow distributions including taxes, flood, and hazard insurance (weekly) 
  • Maintain and troubleshoot escrow accounts (daily) 
  • Track flood insurance compliance (monthly) 
  • Track and maintain hazard insurance requirements (weekly) 
  • Maintain PMI records and updates (weekly) 
  • Reconcile FNMA escrow reserves (daily) 

Investor & Secondary Market Reporting

  • Complete Fannie Mae reporting and reject resolution (daily) 
  • Process Fannie Mae rate updates and sales reporting (daily/as needed) 
  • Manage Farmer Mac reporting (monthly) 
  • Complete USDA and Farmer Mac semi-annual reporting (semi-annually) 
  • Process USDA reporting (monthly) 
  • Perform audits of selected investor or Secondary Market Loans

Loan Balancing & General Ledger Reconciliation

  • Perform loan control balancing (daily) 
  • Complete general ledger reconciliations (monthly) 
  • Maintain credit card system updates including fraud alerts, travel notices, and inquiries (daily) 
  • Support credit card customer service issues including fraud and disputes (daily) 

Collateral, Legal & Compliance Support

  • Manage UCC assignments, releases, and continuations (monthly) 
  • Support collateral enhancement program reporting (as needed) 
  • Process lien releases and related documentation (as needed) 

System Support

  • Perform File Viewer document retrieval and printing through CSI system (daily) 
  • Maintain loan servicing system administrative functions (daily) 

Board & Management Reporting

  • Provide data for monthly board reporting (monthly)  
  • Support loan sales reporting used by executive leadership and HR (monthly) 

Payments, Wires & Treasury Support

  • Process wires (daily) 
  • Handle SBA payment processing (weekly) 
  • Support debt protection reporting and payments (monthly) 
  • Manage coupon book ordering (weekly) 

Additional Duties

  • Support for Loan Processing and Loan Review
  • Performs other duties as assigned to support Loan Operations and Lending Department needs. 






Requirements

Qualifications

Education and Experience: High School diploma or equivalent required. Associate’s degree or higher in appropriate field preferred. 2-5 Years of experience in loan servicing, loan operations, or banking operations preferred. 


Skills or Qualifications: Must be a self-motivated and focused team player. It is important to possess excellent verbal and written communication skills along with the ability to work well with various lending officers and external loan services vendors. Strong Attention to Detail, organization skills, ability to work in a fast-paced environment, handle multiple tasks, proficient with MS Office programs and computer savvy, willingness to learn and adapt quickly, knowledge of basic accounting principles. Familiar with bank documents.  


Physical & Work Conditions: Primary office-based role. May be subject to prolonged sitting/standing, frequent use of hands and upper body to manipulate/grasp objects/branch equipment, ability to communicate face to face and on the phone with clients, occasional bending and lifting from floor height, frequent forward reach, lifting of 1 – 15 lbs. Must be able to travel by vehicle to branches/meetings/seminars, and so forth.
