Description

SUMMARY  

Provides administrative support to the Chief Executive Officer as assigned. The support includes but is not limited to scheduling meetings, taking meeting minutes, initiating and receiving phone calls, etc.


ESSENTIAL DUTIES AND RESPONSIBILITIES  

  • Coordinates and attends meetings as assigned or scheduled, takes minutes, types and has minutes approved then sends to designated individuals. 
  • Maintains various files ensuring confidentiality of content within agency and regulatory guidelines including HIPPA.
  • Maintains Main Conference Room calendars.
  • Assists in sorting mail, distributing faxes, covering reception for breaks/lunch/days off.
  • Prepare and distribute information packets for the Board of Directors meetings.
  • Places orders for office supplies through purchasing, places food orders as requested
  • Provides assistance as needed and assigned to the Executive Team
  • May participate in special assignments or projects as assigned
  • Performs other duties as requested or required


SPECIAL REQUIREMENTS FOR POSITION:

  • Completion of all mandatory training sessions and medical documents required by organization and regulatory agencies.
  • Ability to work in fast paced office, attention to detail.
  • Ability to be flexible and manage multiple priorities.
  • Excellent Communication skills.
  • Fluent in Word and Excel
  • Maintains high level of confidentiality due to nature of work performed


PHYSICAL REQUIREMENTS FOR POSITION:

  • Detailed computer work
  • Sits for majority of day
  • Normal office environment, ability to bend, stretch, lift, push and pull up to 20 pounds.

EDUCATION and/or EXPERIENCE  

  • High School or GED 
  • Minimum of 3 years’ experience in office setting supported executive leadership

Salary $23.00 to $25.00 per hour
