General Job Summary

The Reimbursement & Reporting Associate is responsible for completion of default reporting and for facilitating the reimbursement of funds from various entities, including GSEs, PMI companies and investors. The position also reviews and processes invoices and claim payments and maintains corporate advance accounts. 


This position requires strong analytical skills, meticulous attention to detail, and the ability to manage complex regulatory and procedural requirements across multiple loan programs.


Summary of Essential Job Functions

  • Review, maintain, monitor, and submit default reporting to investors, insurers, and agencies as required by entity guidelines, ensuring timelines and procedural standards are consistently met.
  • Coordinate with internal departments to resolve outstanding issues preventing the accurate completion of default reporting.
  • Review, analyze and implement default reporting process changes within the mortgage servicing system.
  • Develop and maintain a strong working knowledge of the default lifecycle and cross-functional processes within the department to support accurate reporting and/or claims submissions.
  • Draft and file reimbursement claims on FHA, VA, PMI, FHLMC, FNMA, FHLB, and Rural Housing loans, ensuring compliance with entity regulations and guidelines.
  • Monitor and follow up on filed claims on a regular basis, filing supplemental claims or corrections as needed to ensure maximum reimbursement potential.
  • Analyze process and track claims payments in accordance with internal controls and requirements.
  • Accurately record and process payment of corporate advances, including highly time-sensitive payments.
  • Collaborate with internal departments and external partners to resolve outstanding issues preventing payment of invoices.
  • Assist in creating and maintaining departmental procedures.
  • Process physical correspondence for reimbursement department.
  • Manage individual and shared departmental email inboxes, responding promptly and professionally to internal and external inquiries.
  • Generate, review, and act upon quality-control reports and task lists from applicable systems to ensure accuracy and compliance.


Other Job Functions

  • Participate in all required departmental training sessions.
  • Attend and actively contribute to departmental meetings, offering insights, raising concerns, and supporting continuous improvement initiatives.
  • Perform additional duties and responsibilities as assigned by leadership, including special projects, audits, quality control initiatives, or cross functional support as business needs evolve.
  • Maintain knowledge of agency guidelines, including changes which may impact department functions.


Requirements

Education, Training and Work Experience

  • High school diploma (or equivalent) required.
  • 1-3 years previous experience in default reporting required.
  • 1-3 years previous experience in mortgage loan servicing highly desired.
  • 1-3 years previous experience in default servicing highly desired.
  • Knowledge of MSP and Black Knight required.

Exhibit a very high degree of accuracy and attention to detail.
  • Demonstrate a high level of dependability, reliability, and accountability in daily responsibilities. Strong critical thinking and analytical skills with the ability to solve multi-faceted problems.
  • Proficiency in mortgage servicing systems (MSP) and Microsoft Office applications.
  • Compliance with all applicable regulations, internal controls, departmental procedures, and company policies.


Working Environment

Primary working environment is within an indoor climate-controlled office space. Employee may be subject to florescent lighting, dust, and other normal indoor-allergens. Employee will work in close proximity of coworkers and occasionally independently in quiet environments. 

Physical Requirements

  • Able to lift up to 20 pounds
  • Travel by foot in outdoor environments where it can slippery/etc.
  • Extended periods of sitting (at computer desk)
  • Complete repetitive tasks (including operation of computer mouse/keyboard)

The salary range for this role takes into consideration a wide range of factors including but not limited to the duties of the role, experience, location, and certificates and/or education. The target hourly range for this position is between $21.00 and $25.00 per year.
